The Refugee Law Project (RLP) is an outreach project of the School of Law, Makerere University. Our Mission is to empower asylum seekers, refugees, deportees, IDPs and host communities to enjoy their human rights and lead dignified lives. Refugee Law Project’s work is currently structured in five thematic areas: Access to Justice; Conflict, Transitional Justice & Governance (CTJ&G), Gender & Sexuality; Mental Health & Psychosocial Wellbeing; and Media for Social Change.

Job Summary: The Human Resources Assistant is responsible for providing support and assistance in the implementation of human resource policies and practices according to the organisation objectives.

Key Duties and Responsibilities:
Recruitment and Selection:
• The HR Assistant will participate in recruitment efforts by posting job adverts; profiling applications; coordinate the shortlisting exercise; scheduling job interviews; organizing interview materials; compile scores sheets and formulate interview reports.
• Communicate feedback to candidates and complete reference and background checks.
Compensation and Benefits:
• Prepare monthly staff salary adjustments for inputting in the payroll ensuring that all new staff are added on the payroll;
• Carry out benefit enrollment process; ensure that NSSF benefits are upto date and answering all queries in line with staff payroll and benefits.
• Tasked with ensuring that staff get their medical insurance benefits and renewals to Medical Insurance and other Employee Insurance Schemes are renewed on time;
• Update leave schedule and prepare quarterly reports; participate in benefits tasks like Claim resolutions; reconciling benefits statements and approving invoices for payment.
Records Maintenance:
• Prepare new employee personnel files; ensure that employee personnel files are up to date; maintain the HR database;
• Maintain records related to grievances; performance reviews and disciplinary actions; perform file audits and share the report with HR Manager; complete termination paper work
Employee Relations: With utmost confidentiality properly handle employee complaints and grievances procedures and ensure they are reported to the HR Manager on time.
Temporal Staff Management:
• Routinely check and respond to the inquiries sent through the Internship, volunteer, research associate and recruitment emails;
• The HR Assistant will profile applications and forward them to line managers for preview and consideration.
• Prepare temporal contracts and coordinate the reporting process, orientation and exit procedures.
Separation Management: Prepare acceptances to resignations; ensure that Exit Interviews are held and Exit forms are completed; organize farewell teas and ensure last salary is paid to staff and also prepare recommendation letters to exited staff upon request.
Performance Management: Coordinate the performance Appraisal Exercise; prepare a report for management discussion and implementation.
Workplace Management: Ensure that the office premises are tidy and clean at all times through supervision of Office Assistants and Cleaners.

Qualifications, Skills and Experience:
• The ideal candidate must hold a Bachelor’s Degree in Human Resources Management, Business Phycology, Industrial Psychology, Business Administration with a Specialty in HR and or any other related field from a recognized university
• At least two years of HR-related experience
• The applicant must be adept at problem-solving including being able to identify issues and resolve problems in a timely manner;
• Proven ability to give timely report on activities undertaken;
• Demonstrated ability to work under pressure with minimum supervision;
• Creative and innovative skills;
• Ability to prioritize and plan work activities;
• Accurate, organized thorough, and able to monitor work for quality;
• Highly dependable able to follow instructions, respond to management direction;
• Detail oriented;
• Ability to enjoy interfacing with staff at all levels;
• Excellent interpersonal skills and high level of self-motivation;
• Computer literacy skills in MS Office applications
• Excellent communication and presentation skills;
• Good touch typing skills of at least 30Words Per Minute.
