Position: 2 Procurement Assistants
Salary Gross Pag Pay: Attractive, Terms of employment: Contract
Reports to: Procurement officer
Job Purpose
To ensure that the necessary procurement documentation is in order and advise on process and procedures.
Key Functions
• Procurement planning and budgeting. Liaise with end users and compile all procurement requirements of the organization.
• Assist in the preparation of documents for procurement of goods, works and services. Submitting them to the contracts committee for approval at different stages.
• Soliciting quotations and proposals for supplies, Services and Works.
• Participate in the evaluation of Bids for high value and specialized equipment and recommending award of contract in a fair and transparent manner as required by PPDA regulations.
• Negotiating with selected suppliers before contract award to ensure value for Money as part of the supply chain management.
• Compiling and maintaining approved supplier data base /prequalified list of providers.
• Preparation of Local Purchase orders and Contracts for Works Services and Supplies.
• Ensuring timely payment to suppliers by liaising with Finance Department.
• Monitoring the market supply trends for updated information like
• current prices, new products in the market.
• Ensuring effective and efficient management and Disposal of assets.
• Keeping records of procurements and disposals.
• Preparing monthly procurement and disposal reports to the contracts committee and PPDA.
Person Specifications
Qualifications
A Bachelor’s Degree in procurement, purchasing and supplies, business administration, business studies, finance or accounting from a recognized institution.
Minimum experience required
• Two years relevant experience.
