JOB DETAILS:
OVERALL JOB PURPOSE
The IT Admin is responsible for supporting all aspects of the IT systems and services. Additionally, the role includes responsibility for ensuring the security and integrity of computer operations, patient records, hospital records and systems in accordance with the organization’s IT & Records policy.

JOB REQUIREMENTS
• A Bachelor’s degree in IT
• Extensive Experience with any of the following: Microsoft Servers, Microsoft SQL Server, Networking, Coding & user support
• Excellent communication skills (Ably explain complex concepts clearly and simply).
• Significant level of responsibility and accountability.
• Excellent analytical and judgment skills including ability to troubleshoot and advise

KEY PERFORMANCE INDICATORS
• Application of industry trends and developments to improve services, software, websites & systems.
• Facilitate the correction of any system failure in a timely manner
• IT hardware support and inventory management & information security
• Network backup management
• Timely reports as required (Weekly, Monthly, Annually)
• Organise and maintain records efficiently
• Zero errors in information capturing, retrieving and archiving records
• Timely Audits

JOB DUTIES & RESPONSIBILITIES
IT
• Provide first point of IT Support contact for the company.
• Install and configure computer hardware operating systems and applications.
• Assisting staff or clients through a series of actions, either face to face; email or over the telephone to help set up systems or resolve issues.
• Troubleshoot technical issues to resolution and/or escalate to supplier or partner organizations as required.
• Log all incidents and service requests.
• Ensure system and data security is maintained at a high standard, ensuring the integrity of the GMS network is not compromised.
• Expedite the repair of hardware faults and software configuration problems, notifying or forwarding to relevant suppliers in a timely manner.
• Provide technical assistance to project teams and undertake technical project roles when required; supporting the roll-out of new applications and solutions.
• Demonstrate commitment to and promotion of a culture of service excellence and continual improvement within the IT team.
• Maintain and develop excellent working relationships with key suppliers

RECORDS
• You will be required to organize and file all inpatient records in agreed order in the records sections. You must ensure that:
• Files are promptly collected from the finance office after the patient is discharged.
• Blank sheets or forms are not left in files after discharge. All unused forms/ sheets should be put in storage for future use.
• Prompt orders for cabinets, suspension files and labels are made to the purchasing office.
• Records are accurately and safely stored.
• Retrieval, monitoring of retrieved files and archiving of files when necessary.
• You are also required to assist with the outpatients’ card archiving whenever needed.

Statistics Reports
You will be required to give team leaders and senior managers weekly reports on:
• Out-Patient attendances categorizing patient visits; i.e.
• Specialist or General Clinics
• Prepaid, Invoicing, Cash or Charity, Staff and Staff Dependents
• Any deaths

Inpatient admissions in the different patient categories, namely:
• Prepaid, Invoicing, Cash or Charity.
• Deliveries (Normal or Caesarean, Elective or Emergency)
• Medical, Surgical or otherwise
• Any Deaths

HMIS
You will also be required to submit the National HMIS statistics weekly, and monthly in the templates received from the Sub-county and District office of Health Services; including information on:
• Laboratory Tests
• The different diagnoses
• Antenatal visits
• Immunizations
