Job Summary:
As an Administrator at LZ Technologies Ltd, you will play a crucial role in ensuring the smooth and efficient operation of the office by providing administrative, operational, and clerical support. You will be responsible for managing office activities, coordinating meetings, maintaining records, and supporting various teams to enhance organizational effectiveness.
Key Responsibilities:
1. Office Management & Administrative Support
o Oversee daily office operations to ensure efficiency.
o Manage correspondence, including emails, calls, and official documentation.
o Maintain organized filing systems (both digital and physical) for easy retrieval of records.
2. Meetings & Event Coordination
o Schedule and coordinate internal and external meetings, ensuring necessary arrangements are in place.
o Prepare agendas, minutes, and follow-up actions for meetings.
o Assist in organizing corporate events, training sessions, and client engagements.
3. Financial & Procurement Support
o Assist in processing invoices, expense reports, and vendor payments.
o Coordinate procurement of office supplies and services while ensuring cost-effectiveness.
o Work closely with finance and procurement teams to maintain accurate records.
4. Human Resource & Staff Support
o Support HR in onboarding new employees and maintaining personnel records.
o Assist with staff welfare initiatives and internal communications.
o Maintain compliance with internal policies and regulatory requirements.
5. Client & Stakeholder Engagement
o Serve as a point of contact for clients, ensuring professional communication and timely responses.
o Assist in preparing client proposals, reports, and presentations.
o Maintain confidentiality and uphold professional ethics in handling sensitive information.
6. Technology & Systems Support
o Ensure effective use of office management systems and software.
o Liaise with IT teams for troubleshooting technical issues and ensuring smooth operations.
o Support the digitization of administrative processes to enhance efficiency.
Qualifications & Skills:
• Bachelor’s degree in Business Administration, Management, or a related field.
• Minimum of 2 years of experience in an administrative role, preferably in a professional services firm.
• Strong organizational, multitasking, and problem-solving abilities.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management systems.
• Ability to handle confidential information with discretion and professionalism.
• High attention to detail and ability to work under pressure in a fast-paced environment.
