Reports to: Finance and Administration Manager

JOB DESCRIPTION - FRONT DESK EXECUTIVE.
Duties
• Receiving and addressing all company visitors.
• Answering and directing calls to the different office staff.
• Daily monitoring of the office operations and dispatching needed office items to the branch offices.
• Dispatching DHL shipments.
• Ensuring timely delivery and supply of office newspapers and processing for weekly payment.
• Receiving and delivering all incoming packages to the addressed.
• Booking suppliers’ invoices in Trak it.
• Preparing Local Purchase Orders for stationary, books used by the Operations department etc.
• Maintaining generator fuel and electricity for the office premises.
• Preparing of payment voucher to some of the suppliers and for office needs.
• Planning, organizing, and providing support in the preparation of office events.
• Supervising cleaners, security guards and drivers.
• Assisting with IT issues that may arise like installing printers and basic trouble shooting about internet connection, 365 applications.
• Contacting different suppliers for quotations when need arises.
• Offering technical support to staff about issues that may arise about the printers and their laptops.
• Managing the store and achieve rooms.
• Keeping in touch with contracted suppliers l about any issues that may arise.
• Monitoring of the post office box for any documents.
• Maintaining office supplies.
• Receiving the water bills, cross checking and processing payment.

Minimum Requirements
• Proactive and friendly
• Good command of written and spoken English
• Strong interpersonal and communication skills
• Proficiency in MS office applications
• Ability to multi-task as well as work independently and under pressure
• Strong organizational skills and is also a team player
• Detail oriented and possess initiative
• A Bachelor’s degree in Public Administration / Business Administration with 3 years of relevant experience
• Prior working experience in global professional services organization
• Highly motivated individuals with excellent problem-solving skills and the ability to prioritize shifting workloads in a rapidly changing industry.
• An effective communicator, you’ll be a confident team player that collaborates with people from various teams while looking to develop your career in a dynamic organization.
