Role Overview
We are seeking a dynamic and detail-oriented Administrator to join our team. This full-time position is pivotal in ensuring smooth administrative operations within our hybrid work environment. The ideal candidate will work closely with the Technical Director and a team of four, helping us maintain our commitment to excellence and efficiency.
Position Details
- Employment Type: Full-time - Location: Ntinda - Work Arrangement: Hybrid - Reporting Structure: Reports to the Technical Director
Key Responsibilities
1. Manage and maintain executives' schedules. 2. Prepare invoices, reports, memos, letters, financial statements, and other documents using various software. 3. Coordinate and direct office services, including records management, departmental finances, and housekeeping. 4. Answer phone calls, direct calls to appropriate parties, or take messages. 5. Prepare responses to routine inquiries in correspondence. 6. Perform general office duties like ordering supplies and maintaining records management databases.
Requirements
Essential Qualifications
- Education: Post-secondary diploma in Civil, Water, Electrical Engineering, or related fields.
- Experience: 1-2 years in an administrative role.
- Required Skills: Service Orientation, Critical Thinking, Time Management, Active Learning, Judgment and Decision Making.
- Technical Knowledge: Proficient in MS Word, MS Excel, MS PowerPoint, Google Calendar, Google Meet, Zoom, and Teams.
- Language Proficiency: Fluent in English.
Preferred Qualifications
Preferred Responsibilities:
- Open, sort, and distribute incoming correspondence.
- Prepare agendas and coordinate catering for meetings.
- Conduct research and compile data for presentations. Preferred Skills:
