About US:
Iowa State University-Uganda is a Ugandan-based NGO with facilities operations of a 13-acre training center located adjacent to Kamuli Central Business District.
Job Summary: The Facilities Manager will oversee the facilities operations of Iowa State University-Uganda.
Key Duties and Responsibilities:
Standards Setting and Training Center Procedures - set the service standard and manage service staff as required for the upkeep and service needs of the Training Center. Service staff may include seasonal workers or special hires for administrative functions (butlers, housekeepers, laundresses, gardeners, etc.)
Record Keeping - maintain accurate records of all service staff employees; hiring, orientation, training, mentoring, coaching, development, reviews and supervision of staff and leasing agents, as well as contractors who may be performing a variety of services at the property.
Team Work - Interact and collaborate with the ISU-Uganda supervisors and staff members in developing procedures for the efficient operation of the facility. For example, working with the finance officer to report and coordinate required compensation, taxes and other applicable seasonal employee costs as well as contractor payments is critical.
• Faculty, Students and Workers Services – in coordination and collaboration with the ISU Uganda housekeeper(s)
• Ensure accommodation readiness for program visitors, students and workers.
• Provide guest services to ISU faculty and guests, authorized visitors, and Service Learning students, as appropriate.
• Assist in procuring and distributing guests’ supplies and equipment.
Security & Safety – coordinate security in liaison with the Security Manager to secure property by contracting with security services; installing and maintaining security devices; establishing and enforcing precautionary policies and procedures; responding to emergencies.
Management of the physical property – maintenance, inspections, operations, capital improvements, sustainability
• Keenly monitor and manage the systems for electricity, generator, photovoltaics, water pumps, rainwater water collection, water heaters, alarms, Wi-Fi, etc.
• Carry out simple maintenance tasks as needed 24/7
• Inspect properties thoroughly and provide a written report to the National Director with recommendations as to the necessity and/or advisability of maintenance, repairs, alterations and renovations.
• Supervise maintenance, repairs, alterations and renovations as may be decided from time to time, and dealing with technical operations, such as mechanical and electrical systems.
Marketing and leasing – Preparing the space for rent, showing the property
• Collaborate with the ISU-Uganda National Director and the Financial Officer in developing procedures that meet the programs financial requirements related to the training center. These procedures would include collecting fees chargeable; paying bills; forecasting requirements; preparing an annual maintenance budget; scheduling expenditures; analyzing variances; maintaining accurate records of property inventory.
• Maintains property by investigating and resolving complaints; enforcing rules of occupancy; inspecting vacant units and completing repairs; planning renovations, landscaping, and outdoor compound maintenance.
• Enforces the Training Center policies and procedures by confronting violators.
Legal and risk management – work with National Director and other appropriate ISU-Uganda staff regarding training center insurance, emergency planning, government regulations, contracts, etc.
• Enhance job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks.
• Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Qualifications, Skills and Experience:
• The ideal candidate for the Facilities Manager job placement must hold a diploma or certificate from a technical school for building maintenance, utilities, repair or related area.
• Proven working experience in facilities maintenance and repair.
• Proven record of positive collaboration and interactions with supervisors, coworkers and the public.
• High degree of integrity.
• High level of personal service experience.
• Proper social etiquette and cultural knowledge.
• General skills in areas of management, supervision, computers, planning, and organization.
• Independent and team project management.
• Creative and resourceful, intuitive thinking and problem solving.
• Willingness to be trained formally and informally in areas specific to the maintenance and upkeep of the training center.
• Good negotiating skills.
• Multi-lingual; the position requires fluency in English and some knowledge of Lusoga
• Service training for private and/or hotel environments.
Compensation: A competitive package of salary and health benefits will be offered to the successful applicant. Salary will be based on the salary history of the successful candidate.
