JOB DETAILS:
Principal Duties and Responsibilities (Essential Functions)
1. Receive invoices from vendors and subcontractors and manage and ensure timely payment by the project.
2. Prepare documentation for all payment transactions including but not limited to vouchers, checks and transfer forms. Ensure that appropriate documentation and approvals are obtained.
3. Maintain the project's accounting files system (both hard and soft copy), ensuring all vouchers are in order, with required back-up documentation attached.
4. Support petty cash account management and monthly petty cash transaction reconciliation
5. Complete financial entries into ABACUS system as needed.
6. Assist Finance Manager in preparing payroll for all local staff, including review of monthly timesheets.
7. Perform brief review of requests for payments, invoices, receiving reports and other supporting documents submitted for payment.
8. Support Finance Manager in reviewing expense reports.
9. Serve as primary reviewer of Mobile Money transactions in online system.
10. Explain generally accepted accounting principles, USAID and Chemonics regulations to staff and consultants, as necessary.
11. Ensure proper financial controls are enforced and appropriate system are maintained in place.
12. Assist in providing information and documents as requested by the Home Office with the approval of the Finance Manager.
Required Skills and Qualifications
1. Bachelor's degree in commerce, accounting, or financial management from a recognized university
2. Excellent knowledge of Microsoft Excel and accounting software.
3. Strong knowledge of bookkeeping.
4. Good organizational skills. Strong analytical skills.
5. Detail Oriented.
6. Excellent time management skills
7. Minimum 2 years' experience in Finance and accounting
8. Experience working on USAID projects is a plus
