JOB DETAILS:
JOB SUMMARY
The National Grants Coordinator supports the Head of Operations to manage grants provided to SOS Children’s
Village Uganda. S/he is responsible for providing support during the preparation of contracts/grants and assists
in financial management and monitoring of sub-recipient projects. S/he will also support the team in providing
financial management support. S/he performs a full range of financial and management accounting, planning
and monitoring functions which are critical to the smooth running of the grants program. S/he also manages the
smooth flow of communication between the partner and SOS Uganda, on financial matters.
KEY TASKS & RESPONSIBILITIES:
Budgeting (20%)
• Developing proposals and budgets for grants and support in negotiations and selection process of
• grants/contracts.
• Reviewing budgets performances for different projects
• Making revision to existing budgets during budget re-allocation
• Budget tracking and Budget V actual variance analysis
• Participating in development of financial systems and tools for management of grants, budgets and work plan.
Compliance and Grants Reviews (25%)
• Monitoring grants agreements, implementation, and close out of sub-grants awards.
• Reviewing payments raised for different grants to check for completeness and accuracy , review of reports, accountability and queries raised by partners, donors and KIPs
• Review of policies and procedures and making recommendations on grants administration and
• management
• Review of payments to ensure that all have relevant supporting documentation
• Ensuring that funds requests to KIPs are reviewed and processed timely for smooth project implementation
• Scheduling grants review meetings for staff and partners to assess progress
• Working with grants management team to put in place consistent hard copy and system for information and contracts related to grants
Finance Reporting (20%)
• Preparing monthly and quarterly financial reports to management and donors.
• Updating financial data in the data base to ensure accurate and ensuring proper documentation of records for easy retrieval
• Reviewing financial reports prepared by grants assistants
Capacity building (20%)
• Monitoring Key Implementing Partners (KIPs) by visiting their fields to assess performances, identifying areas of weakness and closing gaps
• Training support to KIPs in complying with SOS and donor requirements
• Identifying gaps in Grants officers/Assistants and providing support to close the gaps in effective grants management and accountability.
Audit (10%)
• Coordinating project audits with external auditors
• Answering and resolving queries raised during project audits for all grants
• Drafting action points and follow up on implementation of audit recommendations for all grants
• Liaising with internal audit in reviewing internal controls and internal audit recommendations Safeguarding (5%)
• Ensuring that safeguarding is integrated in all finance processes including, team meetings, annual planning process field-level monitoring, IWP, IDP etc.
• Creating and maintaining a managerial and operational environment where the Safeguarding Policy is effectively implemented
REQUIRED QUALIFICATIONS, EXPERIENCE AND COMPETENCES:
• Bachelor’s degree in Finance or Accounting, Bachelor of commerce, Bachelor of Business Administration (Finance and Accounting)
• Professional qualification (At least Level II qualification of ACCA or CPA)
• Minimum of 5 year as relevant experience in Grants Management
• Must be familiar working with Navision Accounting package.
• Experience with accounting voucher reviews
• Computer Skills with familiarity using accounting software packages.
