JOB DETAILS:

Job Summary:
Efficiently and effectively manage the schools’ administrative support services together with monitoring and enforcing compliance with approved quality assurance standards, and the implementation of quality assurance programs/activities.

Duties and Responsibilities:
Administrative Systems:
• Oversee and monitor the performance of the schools’ administration and support staff including their deployment, duty rotas, time keeping, duty attendance, reporting, meetings, briefings, communications, welfare, discipline, grievances, leave, appraisal and training.
• Direct and supervise Wardens in managing students’ welfare including students’ accommodation, catering services and medical.
• In liaison with the Deans, carry out regular inspections and checks of the schools’ infrastructure and taking timely remedial action on shortcomings identified.
• Provide support to the deans and teaching staff in managing student affairs including student admission and examination activities, students’ guild and club activities, sports trips and discipline, among others.
• In liaison with the line and technical officers, ensuring the effective provision, delivery, availability and functioning of support services at the school including but not limited to: utilities, office services, welfare, cleaning and sanitation services.
• Supervise and monitor the procurement of school materials and proper storage thereof.

Quality Assurance Systems:
• Develop, implement, and monitor quality assurance policies, procedures, and frameworks.
• Ensure alignment with accreditation and regulatory standards for nursing and midwifery education.
• Conduct regular audits and evaluations of academic programs, teaching methods, and administrative processes.
• Collect and analyze feedback from students, staff, and other stakeholders to identify areas for improvement.
• Monitor key performance indicators (KPIs) to assess institutional performance.
• Prepare quality assurance reports for management, regulatory bodies, and accrediting organizations.
• Maintain accurate records of quality assurance activities and compliance efforts.
• Ensure the school complies with all regulatory, accreditation, and licensing requirements.
• Coordinate and prepare for inspections, audits, and external evaluations.
• Organize training and workshops to enhance staff understanding of quality assurance practices.
• Provide guidance to departments on improving processes and meeting quality standards.
• Promote a culture of continuous improvement across all levels of the institution.
• Identify gaps in quality and recommend strategies to address them.
• Act as a liaison between the school and regulatory/accreditation bodies.
• Collaborate with faculty, staff, and students to foster a shared commitment to quality.
• Perform any other duties assigned or incidental to the role.

Position Requirements (Job and Person Specifications):
• Bachelor’s degree in education, Business Administration, Social Sciences, Public Administration, HRM or related courses.
• Knowledge of national and international quality trends in higher education is highly desirable.
• 2-5 years’ experience in administrative is an added advantage.
• Demonstrable experience in designing Quality Improvement tools.
• Demonstrable experience working with multiple stakeholders.
• Demonstrable excellent written and oral communication skills and must be able to communicate and coordinate effectively with all stakeholders.
• Excellent organizational, networking and analytical skills.
• Good interpersonal, presentation, communication, and facilitation skills.
• Monitoring and evaluation skills.
• Database management.
