Overview
Habitat for Humanity International (HFHI) Is currently seeking a talented professional for the role of a Donor Relations Specialist. The Donor Relations Specialist will collaborate and coordinate with various leaders and stakeholders to support the Africa fundraising network totaling in $6M+ annually. This position will be based in Nairobi, Kenya.

Key Responsibilities:
Donor and Grant Management Support:
- Support the corporate/major donor income stream.
- Support Africa fundraising and assist the fundraisers with the whole donor cycle.
- Communicate regularly with the Africa fundraisers in order to support their fundraising efforts and provide them with relevant information about the projects/programs.
- Gather and consolidate project information for funding.
- Support donor reporting and account management by gathering and consolidating project reports (narrative, financial, photos, family stories, etc.).
- Confirm reports are submitted on time, in donor templates and are of appropriate quality.
- Prepare all grant-related documentation and paperwork.
- Gather information for the development of concept notes and proposals and coordinate the international aspect of the various departments/stakeholders involved in the phase of acquiring the funding.
- In cooperation with all relevant departments, support the smooth running of partnerships and grants by ensuring reporting deadlines are met and on time, partnerships are renewed, invoices are issued, funds are received and allocated/coded, etc.
- Support the national office (NO) and area office (AO) team in planning, promotion and development of donor events in the Africa region.
- Ensure volunteer teams include all the donor’s requests.
Tithes & Designated Donations Income Stream:
- Support tithes distribution to NOs. Ensure that the communication with the affiliates is done regularly, the calls, presentations and meetings are of good quality. - Support the HQ tithes team with regular communication with the NOs, affiliates, scheduling the calls, visits, Global Village trips, and all related support to the tithe’s income of more than $2.5m with the aim of increasing this income. - Support Africa NOs’ related tithes management, relations with US affiliates and other designated donors in their funding for Africa. - Make sure reports are submitted on time and are of appropriate quality. Also gather information for the development of concept notes and coordinate the funding with various departments. - Prepare the tithes funds-related documentation and paperwork.
In later stages also:
- Research new fundraising opportunities.
- Support the NOs with advice on high-quality and tailored presentations and other documents for donor meetings, proposals etc.
Data, Files and Information Management:
- Perform data entry and maintain accurate donor records for regional and national donors in HFHI’s donor database and prospect pipeline.
- Ensure all relevant files are saved locally and on the cloud server to ensure other team’s accessibility as well as internal audit controls.
- Coordinate as needed with other relevant HFHI teams and national offices to facilitate cross-border fundraising efforts.
- Keep accurate records on projects and income and support with preparing internal quarterly reports, divisional objectives, etc.
- Provide regular donor giving reports and history to the fundraising team, senior staff and other fundraisers as requested.
Other:
- Promote and maintain Habitat’s name and activities.
- Provide high-quality support to HFHI Resource Development department and out-of-door fundraisers.
- Assist with document and knowledge sharing among fundraisers.
- Undertake any other reasonable duties assigned.

Project Communication and Outreach Specialist
Reporting
The Project Communication and Outreach Specialist shall report to the Project Manager.
Working relations

Purpose of the job
The Project Communication and Outreach Specialist shall be responsible for supporting the Project Manager to execute his/her role as the official spokesperson of the Project, enhancing the project image by ensuring the project is visible and maintained through the established communication channels and stakeholder engagement activities.

Key areas of focus
1. Project communication strategy and plan;
2. Communication to all stakeholders on project activities and deliverables;
3. Documentation, filming and archiving of all project key events.

Specific Duties and Responsibilities

The Project Communication and Outreach Specialist shall be expected to carry out the following duties and responsibilities;
1. Advise the Project Manager on all communication and outreach trends, issues, problems and activities relevant to maintaining the Projects’ image and relations;
2. Ensure that UIA’s interests of advocating for a company brand with external stakeholders and the media are protected throughout the project life cycle;

Experience:
The Project Communication and Outreach Specialist shall possess a minimum of 5+ years’ work experience in corporate communications and public relations on similar projects.

Primary Purpose:
The position is responsible for case management review of USRAP cases, as required for refugee and partner case inquiries. They will be tasked with refugee and partner inquiry responses, updating START, submitting data, liaising with partner offices on deferrals and handling walk in/gate inquiries in Uganda. This position works closely with the Senior Case Processing Assistant and Case Processing Assistant II role on workload and work-plan management. The position reports to a Correspondence Supervisor based in Nairobi, Kenya.
Essential Duties:
1. Completes all tasks related to USRAP processing as assigned by the Supervisor in accordance with set policies and procedures.
2. Demonstrates proficiency in START including completing accurate records and updates in START and the physical file.
3. Conduct case management through a review of USRAP cases, ensuring their readiness for the next stage in processing. This includes following up with the relevant RSC Africa processing teams to effect the needed changes in processing.
4. Handle START assigned Correspondence action items including, but not limited to contact update follow-up and case composition changes.
5. Responds to case status inquiries from Refugees and Partners, Attorneys, Resettlement Agencies, and Congress, either electronically (email) or via physical letter, with strict adherence to the PRM/RPC issued Integrity and Compliance Guide (ICG).
6. Write deferrals and info memos, and correctly update responses in START and physical file if needed.
7. Prepare, QC and share partner monthly reports (Case Status & Holds reports) on a timely manner.
8. Attend partner meetings to discuss the Hold’s report and other matters as requested.
9. Takes a lead role on Refugee Communications projects including being the point of contact, planning workflow, implementing work processes, identifying reporting parameters, and performing quality checks on assigned tasks.
10. Recommend work plans, pipeline reviews, and clean-up projects through a review of daily unit reports, QC reports and overall workload.
11. Recommends, prepares, and facilitates trainings based on the case management approaches and pipeline review in collaboration with the Supervisor. Provides feedback on process reviews and scheduled dry runs as needed.
12. Assists in the development of Refugee Communication onboarding plans, training modules and their implementation as required.
13. Manage the Refugee Communications group mailboxes as assigned – refugee mailbox; deferral mailbox; and partner mailbox.
14. Handles unscheduled visits by refugee applicants in Uganda by strict compliance and adherence to the Integrity and Compliance Guidelines when working with refugee cases.
15. Provide case status updates to refugees through approved open hours in the Uganda offices as part of Public Information Outreach or other travel location as needed.
16. Takes the lead role in hiring and payment of interpreters as requested on circuit rides, for translation of documents received from refugee inquiries or other approved case counselling sessions.

Additionally, solicit refugee information for the purpose of case processing and updating.

Job Description
To ensure successful implementation of the Uganda Country Office programmes, SNV is seeking to recruit the services of an experienced, dynamic, individual with an entrepreneurial mindset to fill the Marketing and Communications Officer position.

Background of the Position
The Country Communications Officer is part of the country office and is responsible for communications and profiling activities at country and project level. Key responsibilities include providing technical advice and support in the development of strategic communication and profiling of products. This includes but is not limited to developing communication strategies, knowledge development, management and learning strategies, branding, and marketing materials in order to support SNV’s business development and programmes.
The Country Communications Officer contributes to SNV’s project and programme work by delivering marketing communication services and positioning and profiling SNV’s work at events, websites, and media forums. He/ She is expected to formulate and implement internal and external communications policies and related processes (e.g. knowledge management), based on corporate marketing and communication policies and standards to contribute to effective SNV branding and increased internal communication and knowledge development, learning and sharing.

Major Responsibilities
Content Development: She/he leads in the gathering and development engaging visual and written material, that effectively explains project teams and the Country Office for a wide range of external audiences:
• Regular compilation of news items, relevant publications, and attractive stories about the Country Programme activities.
• Production of professional quality publications and key communications materials. Where appropriate engage and manage professional writers in this regard.
• Ensure sufficient and adequate visual project material is generated and stored appropriately (photographic and video).
Communication Database: Identify potential visuals and documents for usage in internal and/or external communication, advise country team on development of these visuals and documents and coordinate collection and archiving.
Internal Communication: Collaborate with corporate communications on internal communication products to be developed or shared at country level. Develop content to project and corporate publications such as the annual report, magazines, brochures, leaflets, and videos.
External Communication: Develop an external communication strategy for approval. More so, based on corporate strategy, he/she will lead planning for the country / region, branding and desired positioning, formulation, editing, production, and distribution of communication materials (e.g., reports knowledge products, policy briefs, promotional videos, visuals). More importantly the successful candidate will be expected to translate the corporate communications strategy into country and project level.
Communication Advice: Support management, project communication officers and advisors on communication related matters, corporate branding, and promotional activities.
Internet / Intranet: Develops, maintains, and improves the content of the website, to support execution of the country communication plan, creating online exposure supporting SNV’s brand. Writes and edits texts, selects photos, gathers, and publishes regular contributions on the website and cross-promotes these. Manage the quality of the country website and contribute to staff awareness and usage of site.
Coordinate Press / Media Contact, Develops and maintains contacts with relevant media and press and responds to media requests. Monitors references to SNV in the media and media coverage of topics of relevance for SNV, responds to these topics where relevant and prepares communication lines and actions for sensitive issues that may generate media interest.
Knowledge Development, Management, and Learning-
• Support Knowledge development and learning strategies at country and project level.
