Q-Sourcing Limited trading as Q-Sourcing Servtec is a manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Tanzania, Rwanda, and South Sudan.
On behalf of our client in the renewable energy sector, we are looking for competent, skilled, and experienced Office Administrator to work in Kampala
Reporting to: Operations Associate
Job Summary:
The Office Administrator will be responsible for managing and coordinating various office activities to maintain efficiency. They will oversee administrative staff and handle logistics for team and partner travel. This role involves ensuring a well-organized and secure office environment while supporting the team and interacting positively with clients and visitors
Duties/Responsibilities:
Office Coordination:
• Security: Ensure office security protocols are followed, including managing access controls and monitoring security systems.
• Kitchen: Oversee kitchen cleanliness and organization, including stock management and ordering supplies.
• Maintenance: Coordinate with service providers for office maintenance and repairs.
• Compound: Manage the upkeep and appearance of the office compound.
Team Supervision:
• Supervise and allocate tasks to administrative staff to ensure effective performance and productivity.
• Manage and develop junior administrative team members, providing guidance and support.
Travel and Logistics:
• Arrange travel for team members and partners, including booking flights, car hire, and managing employee transport.
• Coordinate partner visits and logistics in collaboration with the Operations team.
Supply Management:
• Track and monitor inventory levels of office supplies.
• Request and reorder supplies as needed, apart from the standard bi-monthly purchase cycle.
• Inform the Office Manager of any stock replenishment needs.
Client and Visitor Interaction:
• Greet and welcome clients and visitors with a positive and helpful attitude.
• Assist clients and visitors in navigating the office and announce their arrival to appropriate personnel.
Office Support:
• Assist colleagues with office tasks and provide support as needed.
• Resolve office-related malfunctions and respond to requests or issues promptly.
Education, Skills and Experience
• Bachelor’s degree in Business Administration or related field preferred.
• Proven experience in administrative roles or office management.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and multitasking skills with attention to detail.
• Excellent communication and interpersonal skills.
• Ability to work independently and as part of a team
Preferred Skills:
• Familiarity with office management software and CRM systems.
• Experience in managing office supplies and coordinating travel arrangements.
• Problem-solving skills and a proactive approach to office management
