JOB DETAILS:
ROLE PURPOSE
The Receptionist is responsible for managing the front desk, providing professional and welcoming service to visitors, and handling all incoming calls. The role also involves coordinating office communication, assisting with administrative tasks, and ensuring the smooth operation of the reception area.
KEY RESPONSIBILITIES
Front Desk Management
• Greet and assist visitors in a professional and courteous manner. -Maintain a tidy and organized reception area.
• Manage the visitor logbook and issue visitor passes as required. -Ensure compliance with security and safety protocols for all visitors. Communication & Call Management
• Answer, screen, and direct incoming calls promptly and professionally.
• Take and relay messages accurately to the relevant staff members.
• Handle general inquiries and provide information about the company as needed. -Manage incoming and outgoing mail, couriers, and deliveries.
Administrative Support
• Assist in scheduling and coordinating meetings, including booking boardrooms. -Maintain an up-to-date contact list for internal and external stakeholders.
• Support administrative tasks such as photocopying, filing, and document preparation. -Monitor office supplies in the reception area and request replenishment as needed.
QUALIFICATIONS, EXPERIENCE & COMPETENCIES
• Diploma or certificate in Office Administration, Business Management, or a related field. o At least 1-2 years of experience in a front desk or receptionist role.
• Experience in a corporate or financial services environment is an added advantage.
• Excellent verbal and written communication skills.
• Strong interpersonal skills with a professional and welcoming demeanor.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to handle multiple tasks efficiently in a fast-paced environment.
• Strong organizational skills and attention to detail.
• High level of discretion and ability to maintain confidentiality.
