Position Summary

The Program Associate will partner closely with the Managing Director to ensure the seamless marketing, financial management, logistics and administration of our WOB cohorts. You will drive participant outreach and conversion, manage program budgets, coordinate learning materials and oversee all pre‑, during‑, and post‑program operations—helping us hit revenue targets and deliver an outstanding learning experience.

Key Responsibilities

1.   Marketing & Participant Outreach

  • Support the MD in lead generation and follow‑up (emails, calls).
  • Assist with talent‑partner initiatives to source qualified applicants.
  • Track conversion metrics and propose tactics to improve enrollment.
  • Brainstorm concepts for brochures, adverts and e‑invites in partnership with the Design Team.
  • Provide copy input and review final layouts.

2.   Budget & Financial Management

  • Prepare, monitor and reconcile program budgets.
  • Target a minimum 30% net surplus on each cohort.
  • Work with finance to ensure accurate invoicing and reporting.

3.   Learning Materials Coordination

  • Compile, format and upload all participant materials (readings, slide decks, templates) to the e‑learning portal at least one week before the program start.
  • Liaise with faculty and the Design Team to finalize collateral.

4.   Program Logistics & Administration

  • Manage all pre‑program, in‑program and post‑program administrative tasks.
  • Coordinate venue setup: AV equipment, stationery, name/place tags, refreshments.
  • Ensure smooth on‑site registration and participant support.
  • Collaborate with the MD to secure 100% fee collection by program start or end.
  • Follow up on outstanding balances and escalate as needed.

5.   Continuous Improvement & Ad Hoc Duties

  • Gather participant feedback and suggest enhancements to program design and delivery.
  • Perform other related duties as assigned by the Managing Director.

Qualifications & Skills

  • Education: Bachelor’s degree in Business Administration, Project Management, Marketing or a related field.
  • Experience:

o  2+ years in program coordination, events management or business development support.

o  Proven track record managing budgets and basic financial reporting.

  • Technical Skills:

Proficient in MS Office suite and CRM/e‑learning platforms.

Strong written and verbal communication.

  • Core Competencies:

o  Exceptional organizational skills and attention to detail.

o  Ability to multitask, prioritize and meet tight deadlines.

o  Problem‑solving mindset and proactive initiative.

o  Collaborative team player with a service‑oriented attitude.
