The Maternal and Child Survival Program (MCSP) is USAID’s global maternal, neonatal and child health integrated technical support program. MCSP engages governments, policy makers, private sector leaders, health care providers, civil society, faith-based organizations and communities in adopting and accelerating proven approaches to address the major causes of maternal, newborn and child mortality an improve the quality of health services from household to hospital.

In Uganda, USAID has requested MCSP to collaborate with the Regional Health Integration to Enhance Services (RHITES) South West and RHITES East Central programs to ensure standardization and catalyze implementation of a package of low cost, high impact, evidence-based child health services; facilitate learning around implementation of the package in your demonstration districts (e.g. Luuka, Kaliro, Ntungamo nd Sheema Districts); and use lessons learnt to inform ational level child health policy and program updates.

The MCSP/Uganda Child Health program will be managed by hn Snow inc. (JSI) on behalf of the global MCSP program. ISI is recruiting for the position of Administrative Assistant (AA). The AA will work closely with the MCSP Child Health technical and Finance and Administration (F&A) staff to ensure timely and quality administrative and logistical Support for all program activities. The position requires proficiency in the English language (both written and spoken) and strong computer skills. S/he will be based in Kampala with up to 10% travel time to the East Central and/or South Western Regions.

RESPONSIBILITIES:

  • Provide primary administrative support and ensure integrated and efficient day~to-day administrative operations of the MCSP Child Health program. in collaboration with the FAM, ensure that the MCSP
  • Child Health staff register is up to date; prepare, update and regularly maintain the staff annual leave roster; and receive for approval and filing all staff leave forms.
  • Ensure that a register for non-expendable property is maintained up to date, and that all MCSP Child Health property is safely secured and maintained.
  • Receive and ensure proper filing of all F&A and program documentation including financial reports; human resource documentation; program activity reports; official letters, etc
  • Prepare the weekly travel/vehicle allocation schedule for the program.
  • Support internal and external program communications.
  • Organize and maintain a proper filing system for the MCSP Child Health program, including field documents.
  • Organize and maintain proper servicing of all office equipment (e.g. computers, telephones, photocopiers etc.)
  • Schedule monthly team meetings; maintain program tracking sheets; and ensure open, ongoing communication flow between national and district offices. ‘ Q
  • Provide documentation services as required.
  • Supervise drivers, cleaners and other administrative staff as and when requested.
  • Provide support to program staff and assist in the facilitation of meetings, workshops and trainings.
  • Maintain the integrity and confidentiality of all MCSP records and information entrusted to s/he at all times.
  • Collect quotes and organize purchase orders, according to USAID procurement rules and regulations.
  • Assist the FAM and entire MCSP Child Health team in any other duties, as assigned.

QUALIFICATIONS:

  • A minimum of a diploma from a recognized institution; or a Bachelor's degree in Arts or related area
  • Minimum work experience of two years on similar program is mandatory
  • Ability to work well with people from diverse cultures, communicate effectively, and analyze data reports
  • Experience with U.S. Government contracts and/or federal procurement regulations desirable
  • Strong communication and interpersonal skills, including proficient typing skills
  • Fluency in the English language (both spoken and written)
  • Proficient knowledge of modern computer software and office equipment necessary (e.g. Excel, Word, Powerpoint)
