Role Overview
Kipekee Solutions Ltd, a company specializing in blending herbal teas under the Pumzi Teas brand, seeks an Administrator to provide logistical and administrative support to ensure operational efficiency. This is a full-time position.
Roles and Responsibilities
Financial and Administrative Management
• Handle day-to-day cash and bank transactions.
• Monitor costs and expenses to assist in budget preparation.
• Provide weekly and monthly management reports.
• Perform financial forecasting and risk analysis.
• Advise on cost reduction and profit enhancement strategies.
• Compile and present financial and budget reports.
Operations Management
• Plan and coordinate finance and administrative procedures and systems.
• Recruit and train personnel, allocating responsibilities effectively.
• Assess staff performance and provide coaching to ensure efficiency.
• Monitor inventory and raw material purchases within budget constraints.
• Oversee facilities maintenance, services, and tradespersons (e.g., electricians).
Compliance and HR
• Ensure payroll accuracy and timely remittance of statutory deductions.
• Supervise casual workers and ensure timely wage payments.
• Ensure operations adhere to standards, policies, and regulations, including human rights compliance.
Communication and Coordination
• Ensure smooth flow of information within the company to support business operations.
• Keep abreast of organizational changes and business developments.
Knowledge, Qualifications, and Experience
• A relevant degree in Office Management or Administration.
• At least 2 years’ experience in an administrative role.
• Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and internet use.
• Excellent written and verbal communication skills in English.
• Ability to manage a demanding workload and prioritize effectively.
• Proven ability to build and maintain relationships with stakeholders, including in challenging situations.
