Responsibilities
The Executive Assistant to the ND is responsible for providing administrative support to the ND in ensuring effective Board of Directors and Senior Management Team (SMT) meetings and managing the ND's office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Key Responsibilities A. Provide secretarial support to the ND.
Manage ND's calendar based on the priorities, schedule appointments, and keep the ND updated on the upcoming activities.
• Schedule meetings, draft agendas, and, develop and distribute presentations and documents for the meeting.
• Coordinate meetings and record meeting minutes, circulate and follow up on the approvals.
• Collect and prepare information for meetings with staff and outside parties
• Compose and prepare correspondences on behalf of the ND.
• Coordinate travel arrangements and logistics for the ND.
• Complete expense and other travel reports for the ND.
B. Communication
• Serve as the point of contact of ND's office for internal and external stakeholders
• Receive, screen, and prioritize phone calls, emails, and correspondence for the attention of ND, SMT, and other
stakeholders, exercising judgment
C. Administrative Support to the ND
• Prepare reports, and presentations for ND, Board of Directors, and SMT.
• Maintain an efficient physical and electron filing system that ensures secure storage, easy retrieval, and confidentiality.
Work closely with the ND to keep him well informed of upcoming commitments and responsibilities both internal and external
• Coordinate Board and SMT meetings and retreats and assist with staff meetings and events as needed.
• Other projects/duties as assigned for the overall benefit of the organization.
Qualifications
Bachelor's Degree with Honors in Business Administration or Office Management or Hospitality or any other related field from a recognized institution.
Details of experience
A minimum of three years of related experience in a reputable organization.
