JOB DETAILS:
Job description
The Facilities Coordinator will work closely with the Facilities Manager to coordinate the Facility Team’s activities. The Coordinator will be the first point of contact for internal and external customers seeking support and information. The Facilities Coordinator will provide administrative support to the Facilities Manager, manage office functions including work order coordination, security, cleaning services, database management, daily office operations, maintaining office records and providing general office support services. Additionally, the Facilities Coordinator, under the supervision of the Facilities Manager will maintain external contractors in support of the facilities function, including maintaining records and coordinating project activities and providing scheduling support.

Responsibilities
• Management of the facilities stores in accordance with HCRI-Uganda stores management procedures.
• Schedule facility team meetings & takes meeting minutes and tracks action items.
• Supervise periodic pest control and extermination works (Fumigation and Pest Control) and provide detailed reports to Facilities Manager of work done.
• Provide oversight to HCRI-Uganda cleaning & waste management functions. This includes:
• Supervision of the cleaning company to ensure cleanliness of the facility according to the agreed scope of work.
• Monitoring the cleaning company usage of janitorial supplies through regular monthly audits to ensure cost effectiveness.
• Ensuring sanitary supplies for the washrooms and other areas are as required,
• Ensuring that the service provider carries out scheduled cleaning of the building façade at agreed times and to standard.
• Ensuring that all cleaning company staff get proper clinic and lab health, and safety training and training records are updated and kept on file.
• Supervising the biohazardous waste and the domestic waste contractors to ensure proper removal procedures are followed in the disposal and recycling of the facility’s bio-medical and domestic/general waste.
• Manage the security access control database (key, access code, biometric access register) in conjunction with the Security Contractor and monitor and supervise key issuance.
• Assist the Facilities Manager in all aspects of project implementation as needed.
• Coordinate all facilities’ activities, work direction, and support systems.
• Set up, maintain, and organize the Facility Team’s central files and information.
• Assist Facility Team members in locating parts, supplies and materials.
• Prepare documents, materials, supplies etc. for events supported by the Facility Team.
• Provide administrative support to the Facilities Team.
• Perform other duties as assigned.

Qualifications
• Bachelor’s degree in Facilities Management or its equivalent.
• At least four years Facility Management experience in a cultural institution or high-profile facility.
• Extensive use of a computerized maintenance management systems.
• Demonstrated ability to work and communicate professionally, verbally, and in writing with internal and external customers.
• Demonstrated customer service excellence.
• Building management and Facility and Maintenance operations.
• Microsoft Suite of products including Excel, Outlook, Word, Teams, and PowerPoint.
• Must have strong interpersonal skills and ability to work in a team environment.
• Build strong internal and external relationships using effective verbal and written communication skills.
• Often works independently without regular direct supervision.
• Must be a provider of excellent customer service.
