Partners in Population and Development (PPD) is an inter-governmental alliance of 27 developing countries. Its mission is to expand and improve South-South collaboration in reproductive health, population, and development.
Primary Role
The Finance Administrative Assistant will provide general support to the Finance department. The role requires strong attention to detail, high confidentiality, and integrity. The successful candidate will report to the Finance and Administration Officer.
Key Responsibilities
- Maintain and monitor petty cashbooks
- Receive and process approved payment requests
- Enter payments into Sage Evolution accounting software
- Prepare cash and bank payment vouchers
- Register all payments and ensure receipt collection
- Accurately record and monitor accounts
- Follow up on accountability for advances
- Properly file accounting documents
- Prepare monthly bank reconciliations
- Maintain financial records for all transactions
- Assist in processing payroll and staff expense claims
- Support preparation of monthly financial reports
- Perform banking tasks such as deposits, withdrawals, and statement pickups
- Participate in field activities and ensure proper resource utilization
- Assist in audit preparation
- Perform any other duties as assigned
Key Performance Indicators
- Timely monthly bank reconciliations (by the 5th of each month)
- Correct funder/project codes and ledger accounts used
- Regular reconciliation of accounts receivable/payable
- Timely processing of staff salaries and payroll deductions (by the 15th of each month)
- Completion of management accounts by the 5th of the following month
- Timely accountability of advances as per guidelines
Candidate Profile
Knowledge and Qualifications:
- University degree in Accounting or Finance
- At least Level 2 of ACCA or CPA
- Strong understanding of financial management and grant reporting
- Good office administration and IT skills (web-based communication, email)
Experience:
- Minimum 2 years managing organizational or project finances
- Experience with meetings, donor engagement, and financial reporting
- Previous work with civil society or advocacy organizations
Skills and Abilities:
- Strong interpersonal and cross-cultural communication skills
- Team player with proactive planning ability
- High numeracy and accuracy
- Strong written and spoken English (French is an added advantage)
- Familiarity with Sage Evolution accounting software
- Commitment to equal opportunities and diversity
