Responsibilities
Role Purpose & Context:
The Job holder is responsible for overseeing the staff recruitment, selection and exit processes, induction of new staff, monitoring staff performance management and professional development, managing staff information and reporting, supporting the development and implementation of the Human resource strategy, staff capacity building and training and staff welfare and ensuring that all staff adhere to laws and Fields of Life policies for effective and efficient organisational performance.
Key Responsibilities:
1.Support staff recruitment, selection and exit processes
• Collaborate with SLT members to ensure job descriptions are in place and accurate.
• Prepare Terms of Reference, notices and support in drafting advertisements for vacant positions.
• Support in the review and short listing of applications.
• Oversee scheduling of interviews with applicants and appropriate staff.
• Collate information for interview reports and grids for SLT and/or hiring firm for review/reference.
• Support in conducting reference checks on candidates.
• Ensure that staff exit procedures follow Fields of Life HR manual and labour law.
2. Oversee induction of new staff:
• Prepare and finalise new staff contracts.
• Plan inductions and new staff training with support from the Administrator and/or any other appointed staff.
• Ensure the new staff information is recorded and filed properly.
• Generate internal HR reports including information on staff start/end dates, leavers, joiners, leave status and recruitment timelines.
• Serve as the primary point of contact for new staff, ensuring each has an email address, computer, and seating assignment and leading on organising and carrying out an induction programme.
3. Monitor staff performance management and professional development:
• Collaborate with line managers for setting and monitoring performance objectives for all staff.
• Maintain and coordinate staff recognition/reward/motivation programmes.
• Organise and track professional development and capacity building activities for staff.
4. Manage staff information and reporting:
• Support in the organisation and management of staff information.
• Generate internal HR reports including information on staff start/end dates, leavers, joiners, leave status and recruitment timelines.
• Be responsible for all staff records.
5. Human resource management
• Support with HR policy review.
• Support in receiving and handling staff grievances and complaints.
• Ensure compliance, understanding and application of local employment law.
• Manage staff leave.
• Working with the Administrator, organise and coordinate staff meetings and retreats.
6. Staff training and development
• Roll out the staff training and development policy and ensure that it is understood by all staff.
• Identifying and analysing training needs in conjunction with the line managers.
• Design an annual training calendar or training plan.
• Organise and coordinate tailor made trainings to address competence gaps.
ADDITIONAL RESPONSIBILITIES
• Gender: Mainstream gender in work plans and activities and promote a gender sensitive environment in your work.
• Risk Management: identify possible risks to FOL’s operations and report in a timely manner.
• Outreach: Support FOL staff, partners and supported communities including children to get deeper understanding and appreciation of the role of faith in development
• Child protection: Adhere to FOL’s child protection policy and code of conduct; prevent, identify, report and respond to child protection issues.
• Environment Protection: Champion environmental protection initiatives in all FOL’s operations
Qualifications
• Bachelor's degree in human resource management or a related discipline
Details of experience
• Minimum 2-3 years of experience in human resource management, preferably with an NGO or INGO
