Job Summary:
The HR and Admin Officer will provide essential administrative support to BUZIGAHILL by manning the front desk and charged with the human resources function, ensuring efficient and accurate management of employee records, recruitment processes, and administrative tasks. This role is crucial in maintaining a smooth and compliant HR operation and overall premise operations.
Key Responsibilities:
• Recruitment and Onboarding:
o Assist with the recruitment process, including posting job advertisements, screening applications, and scheduling interviews.
o Coordinate new employee onboarding, including preparing contracts, conducting orientation sessions, and ensuring completion of necessary paperwork.
• Employee Records Management:
o Maintain accurate and up-to-date employee records, both physical and electronic.
o Ensure compliance with data protection regulations and company policies.
o Manage employee leave records, attendance, and other relevant data.
• Administrative Support:
o Handle HR-related inquiries from employees and provide timely responses.
o Prepare HR-related documents, reports, and correspondence.
o Assist with the organization of HR events and training sessions.
o Perform general office administrative and front desk duties.
o Client/Visitor Reception and Management (Welcome clients, visitors, and partners in a professional and courteous manner.)
o Handle incoming and outgoing communications, including phone calls, emails, and physical mail.
o Organise and coordinate team activities, from meetings to gatherings taking care to liase between departments to synchronise schedules and attendance.
o Take professional minutes during management meetings.
• Compliance:
o Ensure compliance with Ugandan labor laws and regulations.
o Assist in the implementation and maintenance of HR policies and procedures.
• Payroll Assistance:
o Assist in preparation of payroll data for submission, manage employee benefits (in coordination with Finance).
Qualifications:
• Bachelor's degree or Diploma in Human Resources Management (preferred).
• Minimum 2 years of experience in a similar administrative or HR support role.
• Proven experience in an HR administrative role.
• Knowledge of Ugandan labor laws and regulations.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent organizational, communication skills and the ability to prioritize multiple tasks.
• Strong attention to detail and accuracy.
• Ability to maintain confidentiality.
Preferred Skills:
• Experience with HR information systems (HRIS).
• Knowledge of local languages is an added benefit. Important Considerations for the Ugandan Context:
• Local Labor Laws: Ensure the job description reflects compliance with Ugandan labor laws.
• Cultural Sensitivity: Be mindful of cultural nuances in the workplace.
• Language: While English is widely used, knowledge of local languages can be an asset given the nature of industry
