JOB DETAILS:
The Refugee Law Project (RLP) is an outreach project of the School of Law, Makerere University. Our Mission is to empower asylum seekers, refugees, deportees, IDPs and host communities to enjoy their human rights and lead dignified lives. The Refugee Law Project has a wide physical presence with offices in the different parts of the country including Kampala, Hoima, Mbarara, Gulu, Kitgum, Nakivale and Kyangwali, Kiryandongo, Lamwo, Adjumani, Yumbe, Arua and Moyo.
For the fulfillment of its mandate, the Refugee Law Project now seeks to make appointments for the following vacancies:
Job title: Human Resources Assistant
Reports to: Human Resources Officer
Programme: Operations and Programme Support
Area of Placement: Kampala (with possibility of transfer to other field offices)
Job Summary:
The Human Resources Assistant is responsible for providing support and assistance in the implementation of human resource policies and practices according to the organisation objectives..

Key Performance Areas
KPA1: Recruitment and Selection
1. The HR Assistant will participate in recruitment efforts by posting job adverts;
2. Support in the profiling applications;
3. Participate in coordinating the shortlisting exercise;
4. Particiapte in scheduling job interviews;
5. organizing interview materials;
KPA2: Compensation and Benefits
6. Support in the preparation of monthly staff salary adjustments;
7. conduct benefit enrollment process;
8. Support all staff in getting their medical insurance benefits;
9. Support in updating the leave schedule and prepare quarterly reports.
KPA3: Records Maintenance
10. Prepare new employee personnel files;
11. Ensure that employee personnel files are up to date;
12. Maintain and update the HR database;
13. Perform file audits and share the report with HR Manager;
KPA4: Employee Relations
14. With utmost confidentiality report employee complaints and grievances to the Human Resource Officer for timely handling.
KPA5: Temporal Staff Management
15. Support in the management of support staff including interns, Research Associates and Volunteers. Prepare temporal contracts and coordinate the reporting process, orientation and exit procedures.
KPA6: Performance Management
16. Update performance evaluation tracking and file reports derived from the performance evaluation exercise.
KPA7: Workplace Management
17. Ensure that the office premises are tidy and clean at all times through supervision of Office Assistants and Cleaners.


Qualifications and Competencies Required
Essential:
• A first degree in humanities and social sciences
• A minimum of two years demonstrated research experience, including knowledge of the Ugandan context
• Strong and demonstrated writing background 2
• Computer literacy (word processing, spreadsheet)
• Familiarity with research analysis tools (e.g. SPSS, Stata, Tableau, N-Vivo, etc.)
• Strong written and spoken English
• Touch-typing (or willingness to learn)


Desired Competences
Ability to give timely report on activities undertaken; Ability to work under pressure with minimum supervision; Creative and innovative skills; Must be able to prioritize and plan work activities; Accurate, organized thorough, and able to monitor work for quality; Dependable, able to follow instructions, respond to management direction; Detail oriented; Able to enjoy interfacing with staff at all levels; Great interpersonal skills and high level of self-motivation; Excellent skills in MS Office applications and good communication and presentation skills; Good touch typing skills of at least 30Words Per Minute.


Necessary Education and Experience
Bachelor’s Degree in Human Resources Management, Business Psychology, Industrial Psychology, Business Administration with a Specialty in human resource and or any other related field from a recognized university
Experience of 2 years handling similar tasks
