VACANCY ANNOUNCEMENT
Joint Medical Store (JMS) is a Church founded private not for profit organization whose mission is to supply medicines, medical equipment and related health care services of assured quality to the people of Uganda at affordable prices. JMS is therefore recruiting a qualified and experienced personnel for the following positions to join its dedicated team.

Project Manager – Biomedical Engineering
Duty Station; Kampala
Reports to; Director Biomedical Engineering
Supervises; Biomedical Engineering Officers

Main purpose of the job
To lead and supervise the team in the implementation of proactive and responsive Biomedical Engineering services to customers, and support the processes that ensures that appropriate stocks of medical equipment are maintained for sale at JMS.

Key duties and responsibilities
• Draft and participate in the development of the BME Directorate’s policies, strategies and procedures and submit to the Director BME for approval.
• Develop and implement a capacity-building strategy and program for DBME personnel at both JMS and client health units.
• Work with the Director BME in identifying what is in the current marketing strategy of DBME, what should be retained and what should be revised/replaced.
• Lead the DBME team to implement the business development strategy of the directorate and report all proceedings to the Director BME.
• Carry out the implementation of robust quality assurance systems for biomedical technology equipment, services and supplies.
• Implement and adhere to all the standard operating procedures as developed by the Director BME.
• Monitor, test and manage equipment functionality.
• Inspect all medical equipment to be sold by JMS and ascertain that they adhere to international and national quality standards and satisfy customer quality expectations as much as possible.
• Carry out all the necessary equipment testing and calibration required in-house.
• Follow-up on the use of systems and implementation of work schedules for human capital in the directorate and conduct a capacity needs assessment and identify the need for training of DBME staff
• Provide training and mentorship for the Officers and Assistants regarding the equipment operations and systems.
• Identify new product ideas and concepts through research and keeping abreast with market trends and customer needs
• Follow the product development cycle, Conceptualize and develop feasible and viable products areas for business through the development of new products and services aligned with JMS strategy
• Coordinate with the various Directorate, conduct research and collect relevant information to develop compelling proposals and draft proposals well-aligned with the project TORs/RFPs and complete in all respects.
• Develop prototypes for the approved product concepts and improvements and conduct design validation tests to ensure products meet the technical, cosmetic and environmental requirements
• Undertake Production validation testing and verify that the product can be made at the volumes needed for the target cost.
• Submit periodic reports on activities, tasks and assignments undertaken

Person Specifications
Qualifications

• Bachelor’s Degree in Mechanical Engineering, or Biomedical Engineering or its equivalent
• A Master’s Degree is an added advantage

Experience
• At least five years’ experience in medical or technical equipment operations and maintenance management with at least three years related experience in business development, management and/or marketing in reputable logistics or service industry

Project Assistant – Biomedical Engineering
Duty Station; Field services
Reports to; Project Manager - Biomedical Engineering
Supervises; None

Main purpose of the job
To provide proactive and responsive Biomedical Engineering support services to customers,
and lead on coordination of JMS activities that facilitate availability of stocks of medical equipment, their spare parts and accessories to meet customer service needs.

• Installation, Maintenance and Repair of Equipment
• Management of showrooms and workshops documentation and records
• Inventory Tracking & Monitoring
• Sales and Marketing Support

Key duties and responsibilities
• Coordinate the development of Preventive Maintenance schedules.
• Assess health facilities’ needs and offer technical guidance.
• Install, maintain, service and repair assorted medical equipment at various health facilities or JMS workshop to international standards
• Offer technical support to health units on retirement and disposal of medical equipment.
• Update the workshop management information system when any action is done out of the system and file all the necessary documents.
• Maintain an up-to-date list of inventory equipment in workshops and showrooms and issue Equipment repair requests and dispatch documents accordingly.
• Organize and maintain cleanliness of the workshop and showrooms and items therein to the required JMS standard.
• Develop and maintain a tracking system for all stock inventory including equipment, spare parts, consumables, and accessories thereby tracking products from receipt to point of sale and product use.
• Maintain accountability in the tracking system for all products delivered by JMS and coordinate periodic stock take exercises and harmonize inventory records.
• Perform sales and marketing activities to boost market for JMS products in Uganda and other geographical regions of interest to JMS
• Proactively contribute to preparation of annual operational plan activities for Biomedical equipment and services and actively participate in the planning and scheduling of marketing activities for JMS products to both new and existing JMS customers.
• Represent JMS products at conferences/ exhibitions in Uganda and other geographical regions of interest to JMS
• Offer technical consultancy services to both to new and existing JMS customers.

Person Specifications
Qualifications

• Degree or Diploma in Biomedical, Electro-Mechanical, Electronics Engineering or the equivalent.
• Specialized training and/or in repair and maintenance of medical equipment is an added advantage

Experience
• At least two year’s working experience in a similar position

Internal Audit Officer
Duty Station; Kampala
Reports to; Director Internal Audit Risk & Compliance
Supervises; None

Main Purpose of the job
Execute all approved audit activities and plans to provide independent and objective assurance on the efficiency and effectiveness of JMS operations in conformity with JMS policies,nprocedures and guidelines, and relevant laws, regulations and accepted business practices.

Key duties and Responsibilities
• Review the audit manual and other department Manuals, organizational Procedures & Policies to identify established audit areas and schedules
• Plan and prepare tailored audit programs to suit audit assignment and forward program to DIARC for review.
• Hold pre-planning meetings for the assignment with team members and entry meetings with auditees and adjust the audit program accordingly.
• Execute the audits by gathering relevant evidence and work done and uploading it into the audit software (Team Mate Audit software)
• Prepare draft audit reports and working papers to DIARC for review.
• Forward audit issues for both Internal and external audits with un closed actions to the respective auditees and receive and review the status of implementation of the audited actions
• Train staff in QMS procedures and other relevant requirements, in line with QMS annual plans and perform QMS audits.
• Prepare working papers and audit reports for the audit work performed.
• Review the accuracy of the figures in the end of year and bi-monthly project stock take results report by re-computing the values and tracing the counted quantities to the physical count sheets
• Validate and obtain reasons for any variances and follow up on the implementation of any management actions arising
• Physically count the cash in the presence of the cashier/Accountant and update the cash count sheets and reconcile the physical and expected cash balance
• Carry out a risk assessment on all operations and procedures of the organization and share assessment results with DIARC.
• Review procedure for managing risks and opportunities to identify gaps and coordinate risk monitoring by liaising with Risk Champions and the respective Directors.

Person Specifications
Qualifications

• Bachelor of Commerce (accounting option) or Auditing, BBA (accounting option), BSc Accounting or any other related field.
• Full Professional qualification such as ACCA, CPA, CISA or CIA.
• Membership to the Institute of Internal Auditors

Added advantage
• IT audit skills
• Qualification in Enterprise Risk Management
• Master’s Degree in Business Administration (MBA) or Master of Finance or Masters qualification in a related field.

Experience
• At least three years’ audit experience in a large and busy organization.
• Practical experience in using computerized financial accounting packages and inventory management systems.
• Practical experience in systems audit, and knowledge about best practice standards including IFRS, IPPF, TQM, ISA, ISO 31000 Risk Management Standard are desirable.

Warehouse Assistant

Duty Station: Arua
Reports to: Senior Warehouse Assistant
Directly Supervises: None
Directorate: Customer Services

Main purpose of the job;
Work in the warehouse and do stock management in accordance with the warehouse guidelines of processing Customer orders in a timely and accurate manner.

Key duties and responsibilities
• Maintain the warehouse inventory stocks shelved within their assigned locations and updated at all times.
• Manage order processing through picking, consolidating, packing, registration and labeling of invoiced goods as per pick documents.
• Do stock taking and daily stock reconciliation by carrying out cycle counts for all
• locations from which stock was picked and replenished the previous day, verify replenished stock and do bin verification
• Maintenance of the warehouse in accordance with NDA set standards.
• Do maximum compliance of health and safety guidelines and procedures at all times in the warehouse.
• Comply with security checks, controls and measures to ensure stock accuracy
• Comply with customer service systems, Policies, Practices and Procedures as per the JMS standards
• Do proper management and handling of working tools (Forklift, Hand pallets and RF terminal, laptop…)
• Move damaged and expired drugs and immediately report to a supervisor.
• Dispose waste materials and engage warehouse cleaners to clean the warehouse as per the recommended warehouse standards.
• Communicate with customer service team constantly for better planning on which order shall be required first.
• Pro-actively liaise with the logistics team to process planned and emergency customer orders

 Sales Representative – On commission basis
Reports to; Manager Business Development and Marketing

Main purpose of the job
The Sales Representative will be responsible for implementing approved marketing and sales activities in a professional manner in order to meet the overall sales and marketing objectives of JMS in the assigned market segment.

Key duties and Responsibilities
• Act as a liaison between JMS and the different stakeholders in the assigned region and resolve or report any pertinent issues.
• Promote Joint Medical Store products and services in the assigned territory.
• Recruit new customers for JMS and implement initiatives to retain them.
• Provide relevant technical support to customers and stakeholders.
• Prepare the ground for territorial events and marketing campaigns.
• Conduct regular customer visits to get business, recruit new customers to grow our customer base.
• Identify business opportunities through the tender system.
• Introduce new products in the market to grow sales revenue.
• Carry out market surveys to inform decision making on market strategies.
• Identify new business opportunities and target to sell to particular customers’ segments.
• Compile and submit reports in line with reporting lines.

Academic Qualifications
Minimum qualification is a Diploma in Pharmacy, Clinical Medicine, Nursing, or Medical
Laboratory Technology or Degree in Biomedical engineering

Additional training
• Good training and experience in marketing of pharmaceutical products is desirable.
• Computer literacy including experience in use of MS Word, Excel and Outlook.
• Proven experience in customer and market research.
• Strong clinical knowledge
• Valid class A driving license/Moto Cycle license.
