Background
The Montrose programme co-ordinator will support the successful delivery of Montrose global programmes. They will represent Montrose, support the company’s delivery of high-quality international development programmes and nurture the growth of the company’s portfolio within the sector. They will champion the Montrose vision, mission and values, have a willingness to learn, great attention to detail, communicate well with all stakeholders and be responsive and eager to grow with the company, demonstrating flexibility, creativity and initiative.
Purpose of the position: To support the successful delivery of Montrose global programmes
Location: Ideally Uganda or UK, but may be flexible
Core responsibilities of the position
The programme co-ordinator will support the successful delivery of Montrose global programmes. This includes:
A. Technical responsibilities specific to the role
The programme co-ordinator will support the senior programme manager and programme managers with direct management of specific projects and day-to-day implementation of contracts. Responsibilities will be to:
· Support the programme team in managing cost-effective and high-quality project implementation
· Developing and managing work plans and working budgets where applicable
· Support, where appropriate, the organising of programme related logistics
· Managing procurement of equipment and supplies with guidance from the senior programme manager and programme managers
· Manage discreet projects or project components as required
· Draft, review and proofread programme delivery reports
· Where applicable, represent Montrose on working groups to support the achievement of project goals
· Review, edit and/or write technical reports and components of technical reports where applicable
· Support technical experts through providing basic research or other support on technical areas where applicable
· Support the senior programme manager and programme managers to manage consultants and on discreet and short-term projects provide direct management of consultants
· Lead on ensuring compliance with contracts and internal policies
· Development of complex ToRs, ensuring level of effort is logical and fits within the budget
· Responsible for understanding Client contractual obligations and internal policies.
· Support the senior programme manager and programme managers to ensure implementation of these policies and adherence to all contractual compliance
· Support the senior programme manager and programme managers to ensure expenditure does not go above working budget amounts and manage discreet budgets or project components as required.
B. Grade-level roles and responsibilities
1. Research
· Support technical research related to projects or proposals, with direction.
· Plan, co-ordinate and oversee data collection and carry out analysis of data collected.
· Write summary reports based on the research completed and be able to articulate the research findings in a meeting including preparing visual presentations as required.
2. Finance
· Demonstrate an understanding of financial management in Montrose and ownership for project budgets including expenditure and ensuring company goals on revenue.
· Demonstrate an understanding of the financial roles and responsibilities of different departments and provide support and guidance where appropriate e.g. with business development and proposals.
· Comply with all internal and external governance and finance procedures and standards (including confidentiality and accountability) including being aware of procedures the company must follow for Clients.
3. Consultant Management
· Using project proposals and agreed client contracts to develop terms of references for different roles within a project, ensuring the correct level of effort is included in consultant ToRs, where applicable.
· Be able to lead in identification of qualified consultants where applicable.
· Understand how to complete compliance and due diligence processes for consultants and why this is necessary.
· Ensure consultants have any documentation they require ahead of time.
4. Key Documents
· Understand how to format, proofread and co-ordinate inputs into documents such as reports or proposals.
Be able to create and update workplans and working budgets where applicable and maintain the company’s profit margins.
1. Risk Management
· Understand and be proactive with risk management and its importance in Montrose and be able to identify risks, score them, identify mitigations and revising scoring.
· Write and update risk registers for assigned projects, proposals or office management where appropriate.
· Demonstrate ability to manage own personal risk (e.g. draft and implement a journey management plan for any travel).
2. Administration
· Demonstrate an understanding of administration procedures in Montrose.
· Adhere to Montrose administration procedures (e.g. Conflict of Interest declarations),
· Work within and actively advocate for Montrose policies and procedures to ensure Montrose maintains is ISO status.
3. Strategy and Leadership
· Act as an ambassador for Montrose
4. Representation
· Demonstrate an awareness of relevant stakeholder management plans.
· Understand the project or proposal being delivered and be aware of other active Montrose projects.

· Actively participate in performance management with your line manager and be able to evidence achievement of personal goals.
· Support the programme team to meet their collective key results areas including championing one specific area as agreed within the programme management team each year.

· Ability and willingness to travel especially to Africa and Asia.

Desirable
· International development experience.
· Microsoft software including Planner, Power BI, Sway & Stream.
· Experience with other software including Google Drive, Zoom & KoboCollect, Survey CTO.
· Sector experience in education, health, livelihoods, climate or similar.
· Excellent financial management experience.
· Experience writing scopes of work and terms of reference for sub-contractors and individual consultants.
· Working in private sector development management and an understanding of maintaining company revenue and profit margins.
· Working with clients including UN bodies, FCDO, USAID.
· Working with private sector clients including partners and clients in the extractive industry on the social impact investment.
· Procurement policies and processes.
Understanding of H3SE regulations especially in the extractives industry
