JOB DETAILS:
Job Title: Warehouse Officer
This role is accountable and responsible for inventory management including; planning, monitoring usage levels, managing warehouse facilities, and reviewing the quality and efficiency of warehouse activities in line with SCI policies and procedures. Performance of tasks shall be executed in a manner that promotes value for money in accordance to SCI standards.
Team/programme: Uganda Country Office – Program Operations
Team/programme: Field office based – Rwamwanja and Rhino Refugee Response Settlements
Grade: 5 (Competitive Package)

Child safeguarding: Level 3 – the responsibilities of the post may require the post holder to have regular contact with or access to children or young people
Role purpose:
This role is accountable and responsible for inventory management including; planning, monitoring usage levels, managing warehouse facilities, and reviewing the quality and efficiency of warehouse activities in line with SCI policies and procedures. Performance of tasks shall be executed in a manner that promotes value for money in accordance to SCI standards.

Scope of role:
Reports to: Field Nutrition Coordinator
The Field Supply Chain Coordinator shall technically support this role.
Dimensions: Save the Children supports programs in most parts of the country – Northern, Western, North-eastern and Central regions of Uganda with a current staff complement of approximately 400 staff and current expenditure of approximately $ 26 million each year

As a member of the team:
• Tracking stock, maintaining receipt, warehousing, and distribution operations information.
• Complies with donor and SCI standards on local warehousing, material handling requirements enforcing adherence to requirements; advising management on needed actions.
• Controls inventory levels by conducting physical counts; reconciling with data storage system. Keep all inventory records are up to date as per donor & SCI requirement
• Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols.
• Maintains physical condition of warehouse by planning and implementing new design layouts; inspecting equipment; issuing work orders for repair and requisitions for replacement.
• Provide supervisory support to warehouse assistants or attendants by scheduling and assigning tasks and following up on work results.
• Contributes to team effort by accomplishing related results as needed.
• Ensure cleanliness of the warehouse environment is maintained, monitor stock in storage for any infestation, and timely identify need for fumigation.
• Maintain all warehouse tools and equipment in good and workable condition including the non-food items used for distribution
• Prepare periodic reports on stock status & utilization as and when needed
• Timely upload of data and implementation of the Total Inventory Management system (TiM)
• Perform any other tasks as delegated by the line manager

Academic background; experience & person specifications:

• A minimum of a bachelor’s degree in Finance, Supply chain management, Administration Experience in Logistics/ warehouse management will be an added advantage.
• At least three years’ relevant working experience, preferably with International NGOs, and good understanding of major donor’s financial requirements, conditions and government budgets and tax policies.
• Self motivated with demonstrated ability to generate financial reports and meet set deadlines and with good integrity.
• Team player with good interpersonal/ communication, documentation and facilitation skills and the ability to work under minimum supervision in a team.
• Computer literary and fluency in English are a MUST.
• Ability to maintain personal professional development and competencies on financial issues.
• Ability to speak local language and directly interact with target group will be an added advantage
• Strong analytical skills and planning abilities.
• Willingness to travel and work in hard-to-reach areas, occasionally under strenuous conditions.
• Computer literacy and excellent documentation skills are a must.
• Availability and willingness to work extra hours during times of humanitarian responses.
• Highly developed cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
• Ability to intervene with crisis management or troubleshooting as necessary.
• Highly developed interpersonal and communication skills including influencing, negotiation and coaching
• Excellent time management and planning capacity
• Availability and willingness to work extra hours during times of humanitarian responses.
