Job title: Accounts Assistant (Cash Office)
Reports to: Accountant
Over all purpose:
The Accounts Assistant will provide overall support to the Finance section in the areas of petty cash management, voucher preparation, following up accountability of working advances, filling of accounting documents and entering accounting data into the accounting software. This position requires keen attention to detail and high levels of confidentiality and integrity
Duties and responsibilities:
1. Verifying the accuracy and approval of invoices, purchase orders and other accounting documents or records before payment.
2. Update and maintain accounting journals, ledgers and other records detailing financial business transactions
3. Handling /entering approved payment requests and purchase orders into accounting software
4. Assist in the review of accountability provided
5. Preparation/ lining up of payment vouchers for both cash and bank payments
6. Carrying out banking duties as a third party agent including making cash deposits, cash withdrawals, picking bank statements and other related tasks
7. Follows up accountability of advances following procedures in the accounting manual
8. Processing receipts and sales invoices
9. Regular update of payment schedule files for the Accountant or his/her designee to determine required funding levels for the different bank accounts.
10. Participate in the month end closures
11. Participate in the preparation of Audit files / Audit processes
12. Filing all accounting documents in properly labelled files
13. Reconcile bank statements by comparing statements with general ledger
14. Other reasonable duties assigned by the supervisor and / or Head of Department
Knowledge and Experience
1. Bachelor's Degree or Diploma in Business Administration, Accounting,
2. 2 Years Work Experience in a busy office environment
3. Fluency in verbal and written English
4. Highly organized, detail-oriented and self-motivated
5. Ability to handle multiple tasks simultaneously
6. Ability to work independently and in a team.
