Admin and Recruitment Assistant
Overview:
We are seeking a dynamic and organized individual to join our team as an Admin and Recruitment Assistant. This role is pivotal in providing administrative support and assisting with the recruitment process. The successful candidate will play a crucial role in ensuring smooth office operations and contributing to the growth of talented team.
Key Responsibilities:
Administrative Duties:
1. Office Management:
• Maintain a well-organized and efficient office environment.
• Manage office supplies, equipment, and coordinate maintenance as needed.
2. Communication:
• Handle incoming calls, emails, and inquiries in a professional and timely manner.
• Assist in drafting and proofreading documents, emails, and other communications.
3. Data Entry and Record Keeping:
• Maintain accurate and up-to-date records, databases, and filing systems.
• Assist in data entry tasks and ensure the integrity of information.
4. Scheduling and Coordination:
• Arrange and coordinate meetings, appointments, and candidate movements.
• Manage calendars and schedules for office.
• Coordinate activities with recruitment agencies
5. Assist in Task Coordination:
• Support the planning and execution of company activities working closely with the Chief Executive Officer.
Recruitment Support:
1. Job Postings:
• Assist in coordinating job posting activities for the different teams.
• Maintain and monitor job postings on company careers page and job boards.
2. Applicant Screening:
• Review resumes and applications to shortlist potential candidates.
• Conduct initial screenings to assess candidate qualifications.
3. Interview Coordination:
• Schedule and coordinate interviews between candidates and hiring managers.
• Prepare interview materials and assist in the interview process.
4. Onboarding:
• Support the onboarding process for new hires, including documentation and orientation.
5. Candidate Communication:
• Keep candidates informed about the status of their applications.
• Respond to candidate queries and provide a positive candidate experience.
Qualifications:
• Education in HR, Business Administration or related field is a plus.
• Experience in administrative or recruitment support roles.
• Proficient in Microsoft Office Suite and basic knowledge of HRIS systems or ability to learn HRIS systems.
• Excellent organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive information.
