Administration and Logistics Officer
The Administration and logistics Officer will coordinate the provision of responsive, effective, and efficient administrative and logistics services to support all operations of the company. The incumbent in this role will coordinate the implementation of all day-to-day logistics activities for the office and field teams to ensure all operations have the goods and services needed. He / She will help coordinate activities/services related to catering, fleet management, warehouse maintenance and goods receipt, storage handling monitoring, and dispatch in support of the delivery of high-quality services during the operations of the company.
Roles and Responsibilities
• Help ensure administrative systems, processes, and policies are in line with company standards/procedures
• Coordinate the provision of travel and logistics support and services during company operations
• Coordinate activities to ensure warehousing/storage facilities and all necessary equipment and supplies are secured and maintained in excellent physical condition and quantities for proper storage and safeguarding of goods.
• Oversee and assist storage and inspection of goods to ensure they are in excellent condition.
• Maintain updated files with all required logistics documents and ensure all logistics management activities and movements are fully and accurately documented.
• Coordinate meeting arrangements, including informing team members, booking meeting rooms and keeping management/staff calendars updated
• Track staff travel and leave plans and records to ensure all staff members are kept informed of team location and availability
• Schedule and coordinate vehicles and drivers, including driver booking schedules
Qualifications
• Bachelor’s Degree in Business Administration or relevant field preferred.
Skills and experience
• At least five years’ work experience in administrative support functions, with in a large-scale organization specializing in manufacturing, construction, mining, energy or a relevant infrastructure projects.
• Experience and proficient skills in MS Office package (Excel, Word, PowerPoint) and information management systems.
• Experience and proficient skills in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.
• Applied knowledge in enterprise resource planning (ERP) software is desired.
• Good planning, organizational and time management skills
• Strong customer service orientation with very good communication and interpersonal skills
