The Open Society Initiative for Eastern Africa (OSIEA) seeks to recruit an Administrative Assistant to oversee and ensure smooth running of the Uganda office.
Overall job purpose
With energy and initiative, the Administrative Assistant will provide administrative and finance support to the Uganda country office.
Key Responsibilities
• Manage and oversee office administrative, and finance operations and policies in the Uganda office. This will include settlement of financial bills that fall due.
• Provide general logistic support to the Uganda office and ensure the smooth running of the office.
• In consultation with the Administrative Manager, research, negotiate and renew all office suppliers.
• Order and procure all necessary office supplies and services.
• Ensure compliance with all legal and administrative requirements, including local authority licenses, registration requirements, etc.
• Process work permits and immigration related matters for foreign staff.
• Hire and supervise any part-time administrative staff in office.
• Assist in preparation of meetings, conferences and seminars.
• Support the HR and I.T functions when called upon.
Person specifications
• Basic degree Business Administration/finance or a related field.
• Three - four years’ work experience in a similar field.
• Extraordinary initiative, creativity and capacity to think strategically.
• Ability to communicate clearly and effectively with a diverse array of people.
• Team spirit and respectful working and decision-making style.
• Ability to manage several simultaneous projects in a fast-paced environment.
• Strong organizational skills and close attention to detail.
• Integrity, diplomacy and professionalism will be essential.
• Willingness to travel as needed.
