Job Description Hotel Administrative Assistant

We are seeking a detail-oriented and organized Hotel Administrative Assistant to support our hotel's daily administrative operations. The ideal candidate will manage schedules, coordinate communications, and ensure seamless operations, contributing to the pursuit of excellence in service delivery and guest satisfaction.

Key Responsibilities:

  • Administrative Support: Manage and oversee daily administrative tasks, including scheduling, correspondence, and record-keeping. ​
  • Reservation Management: Manage the hotel's reservation system, ensuring accurate and up-to-date bookings. ​
  • Financial Assistance: Assist with financial reporting, budget tracking, and expense management.
  • Database Maintenance: Maintain and update employee and guest information databases. ​
  • Communication Coordination: Facilitate communication between departments to ensure smooth operations.​
  • Compliance and Safety: Ensure compliance with all health, safety, and legal regulations.​
  • Facility Maintenance Coordination: Coordinate with maintenance teams to address any issues promptly.​

Qualifications:

  • High school diploma or equivalent; a degree in Hospitality Management or a related field is a plus.​
  • Proven experience in an administrative role, preferably in the hospitality industry.​
  • Proficiency in hotel management software and Microsoft Office Suite.​
  • Excellent communication and interpersonal skills.​
  • Strong organizational and multitasking abilities.​
  • Ability to work flexible hours, including weekends and holidays.​

Preferred Skills:

  • Multilingual abilities to communicate effectively with a diverse clientele.​
  • Familiarity with local attractions and services to assist guests with inquiries.​
  • Experience with point-of-sale (POS) systems.​

Working Conditions:

  • Standing for extended periods during shifts.​
  • Working in a fast-paced environment with high guest interaction.​
  • Availability to work flexible hours, including nights, weekends, and holidays.​
