JOB DETAILS:
Overview:
URC is seeking an experienced Administrative Assistant for the USAID Uganda Health Activity (UHA), a five-year program. The purpose of UHA is to support the Government of Uganda’s (GOU’s) efforts to increase the survival and well-being of vulnerable populations and improve overall health system resilience in seven priority regions. The program will strengthen the quality and availability of MNCH, FP/RH, nutrition, and facility-level WASH services as well as health systems at the regional-, district-, facility-, and community-levels.

Responsibilities:
The Administrative Assistant will be responsible for managing the front office/reception of the organization, attending to security and general cleanness of office premises. She/he is expected to attend to all visitors and provide general information regarding the organization to the general public, clients, and customers.

Specific responsibilities include the following:
• Manage the front office/reception of the organization, attend to visitors, confirm their appointments and respond to inquiries providing complete and accurate project information.
• Make required phone calls, receiving incoming calls and route them to the appropriate persons in line with administrative guidelines
• Plan for the purchase, monitor the consumption and delivery of office consumables to the respective destinations in line with the operations and USAID guidelines
• Manage and document correspondence between project offices, the client and other partners and stakeholders.

Additional and other responsibilities may include, but are not limited to:
• Deliver official mail, messages, memos, and documents to respective destination and follow up the signing for or acknowledgment of deliveries by the recipient in line with administrative guidelines.
• Supervise the office assistants and custodian so as to maintain a clean working and safe environment for staff and visitors through giving constructive feedback and guidance in line with administrative guidelines.
• Receive and follow-up payments for office utilities essential for the day-to-day operations of the head office
• Establish and maintain a proper filing system for the Project File documents and maintain a proper filing system
• Maintain a diary for the boardroom for project staff, meetings, workshops and visitors
• Distribution of mail, and dispatch the outgoing mails
• Perform general clerical duties, to include but not limited to photocopying, scanning, faxing, filing and mailing, taking meeting minutes.
• Photocopy and scan where necessary the identified relevant articles to UHA from the Newspapers /internet and file the articles in accordance with the administrative guidelines.
• Perform any other duties that may be assigned by the supervisor from time to time
• Other tasks consistent with the nature of this position.
• As needed, attend, and represent the organization in various events, seminars, and functions.

Knowledge, Skills and Abilities
• Demonstrated ability to work in teams
• Ability to multi-task in a high-paced environment
• Excellent interpersonal and written communication skills, particularly as related to report development

Qualifications:
Required Experience and Qualifications:

• Secondary education required. Bachelor's degree in HR, Business Administration or a related field preferred.
• 3 years of experience working in a busy NGO or business environment with demonstrated Human Resources and Office Administration Management experience and high level of responsibility and integrity
• Proficiency with MS Office, with excellent MS Word and Excel skills
• Experience with USAID and donor projects is highly desirable
