JOB DETAILS:
Objectives of the Assignment
The objective of the assignment is to deliver all documents to and from UCREPP Offices. A primary objective of this role is to ensure that signatures and other approvals on project documents are obtained within short turn-around times (of no more than a day) in order to ensure that implementation of key tasks are not stalled.
Responsibilities and tasks
The Document Clerk will carry out the following duties:
• Safely transport and deliver documents to and from UCREPP Offices to Ministry of Health Headquarters
• Ensure documents are delivered to the relevant offices with evidence of delivery
• Closely work with the UCREPP Front Desk Officer to register all incoming and
• outgoing documents
• Follow up with the relevant offices to ensure that documents are picked immediately action is taken on them by the relevant offices.
• Liaise with DHL or any other agency responsible for delivery of documents and ensure that they are picked, received or delivered within a day.
• Maintain a document register that shows all incoming and outgoing documents. g) Ensure safe custody of documents at all times
• Ensure and Maintain confidentiality of information at all times.
• Photocopy, scan and bind documents
• Perform any other duties as may be assigned.
Qualifications and Competences
• The applicant must be a Ugandan National with a Bachelor's Degree in Social Work and Social Administration or Bachelor's Degree in Business Administration.
• The applicant must have a minimum of six (6) years practical and demonstrable working experience in a similar role-preferably in a government agency.
Other requirements
• Good interpersonal skills, communication skills, both oral and written
• Demonstrated integrity and confidentiality in handling public matters/resources
• Computer knowledge and skills in MS Word, MS Excel and internet/Email.
Duty Station
The position is based at the Ministry of Health Headquarters in Kampala.
Time frame
The Consultants shall be engaged on a full-time basis up to 31st December 2024 subject to probation period of 6 (six) months and renewable upon satisfactory performance.
Reporting Requirements/Arrangements:
The selected candidate will report to the Project Coordinator.
