JOB DETAILS:
Position Summary
The Documentation Assistant is responsible for organising data for providing direct support to clients undergoing physical and psychological rehabilitation. Specifically, s/he will manage the data related to all stages of client interventions in line with the Screen-Refer-Support-Document methodology to maximise the usage of data collected for project monitoring purposes and wider research purposes.
Key Performance Areas KPA 1: Documentation and Archival
• Assist in updating online databases related to screening, profiling and testimony documentation
• Store, catalogue and retrieve documents related to the SRSD process
• Support in the process of analysing of screening database
• Participate and engage in data collection through interviews, case history, psychological tests, and/or observational techniques; evaluate data, identify causes of problems and to determine proper response approaches
• Record clients’ testimonies and success stories
• Update clients’ databases on existing online and offline tools
KPA2: Project and Programme Support and Administration
• Keep track of the stationery and materials necessary to support the documentation process
• Participate in research projects and programmes and context/situational analysis
KPA3: Capacity Building and Mentorship
• Support in organising periodic training on data management for staff and support groups
• Participate in training and mentorship programmes in and around the project area
• Support in organising special sessions on documentation during induction of new staff and in the English for Adult classes
KPA4: Dissemination
• Disseminate required documents on time for all activities on time.
Job Requirement
• Strong analytical skills with the ability to collect, organise and disseminate significant amounts of information with attention to detail and accuracy
• Demonstrated experience in social research field-work involving a range of datacollection techniques
• Diploma in Economics, Computer Science, Business Information Systems, Information Management or Statistics
• Minimum of one (1) year of proven working experience as a researcher and/or social data analyst in a busy organisation with high volumes of data/ information
• Experience with Tableau or other data visualisation software
• Excellent written and spoken English and presentation skills
• Proven expertise regarding data models, database design development, data mining and segmentation techniques and strong knowledge and application of other data management best practices
• Knowledge of statistics and experience using statistical packages for analysing datasets (Excel, SPSS, SAS)
• Proficiency in Microsoft Office suite including Word, Excel, PowerPoint, and SharePoint; experience with MS Project
• Proficiency with SQL commands, relational and dimensional database constructs
• Experience with GIS software and geo-mapping
• Strong interpersonal and critical thinking skills
• Excellent organisation, attention to detail, and ability to appropriately prioritise competing tasks
• Effective and efficient time management skills
• Proven ability to work in a dynamic team environment with minimal supervision, anticipating needs and requests;
• Self-motivated, versatile and adaptable to different cultures and people.
