Job summary
To provide secretarial and administrative support to the Executive Director’s office
Responsibilities and duties
• Maintain a diary for the Executive Director (ED) for meetings, workshops, visitors, business trips and other engagements.
• Make travel arrangements, and prepare requests for travel reimbursements for the ED.
• Ensure that routine correspondences to be issued from the ED’s Office are done, sort and forward in-coming and out-going mails.
• Type correspondence and other documents for the ED Establish and maintain a proper filing system.
• Arrange for meetings and take minutes of SMT & Board of Directors meetings.
• Provide logistical support and welfare services to the ED’s office and to the Board of Directors.
• Control office stationery, office equipment and sundry cash issued to the ED’s Office.
• Support and observe the safeguarding culture in the organization regularly documenting and reporting identified and potential safeguarding issues to the HR.
• Ensure health, safety, and security in your area of operation, as you promote the vision, mission and values and the values of Reach Out Mbuya.
• Any other duties assigned by the immediate supervisor.
Qualifications, Skills and Experience
• A Bachelor’s degree in Administration,
• Need to be advanced in oral and written communication as well as organizational skills
• 3 years of administrative experience
• Minimum 2 years of relevant experience, preferably serving an executive role.
• Good knowledge of PC usage and applications related to MS Office, MS Excel, MS Power Point, Internet etc.
• Proven ability to work in a multicultural team
• Strong sense of initiative
• Attention to detail and ability to execute duties with accuracy
• Flexibility
• Good organizational skills
• Proven ability to work under time pressure, good stress management
• Ability to communicate clearly and with confidence, both orally and in written form
• Networking skills to support the section in developing contacts
