JOB DETAILS:
Purpose of the Job:
The Finance and Administration Manager will be responsible for providing financial and Administration management support to NUWODU. She/he will be the overseer of financial and administration operations of the organization.
The Job holder is responsible for budgeting, ensuring internal control systems and review of on-site financial accounting and bookkeeping systems required to assure the integrity and effective performance of NUWODU's financial operations,
The job holder will actively participate in the development, adaptation, or implementation of financial and administrative systems to ensure optimal support to NUWODU
The position supervises Finance officers, Finance assistants and administrative staff.
Above all, she/he will be expected to participate in proposal development and fundraising events for the organization.

Duties and Responsibilities
Finance and Accounting

• To prepare quarterly management accounts and projections and other relevant reports, in consultation with the Executive Secretary and other departments, for presentation to the Board of Directors and Donors.
• To prepare the year-end financial accounts for audit and to liaise with the Auditors prior to sign-off.
• To ensure that NUWODU complies with statutory employment obligations including taxes.
• Ensure that sound accounting principles and controls are applied to financial transactions in the organization.
• Oversee budgeting, budget revision and budgetary controls within NUWODU.
• Ensure that NUWODU's financial policies are interpreted and applied correctly by staff, board members and other stakeholders.

Undertake the following direct financial tasks

• Monitor NUWODU's compliance with partner's contracts and agreements.
• Carry out bank reconciliations for the organization accounts; report any discrepancies to the Executive Secretary by way of timely resolutions.
• Verify general ledgers, Journals and reports for completeness and accuracy
• Maintain books and financial records of all programmes / projects. Keenly monitor disbursement of funds from the project bank account(s) to ensure compliance with donor guidelines and NUWODU's financial policies and procedures.
• Provide support to the organizational procurement activities.
• Provide regular updates to the Executive Secretary on the financial positions of the various programmes / projects any issues that require immediate action.
• Prepare for and ensure timely submission of annual accounts to Auditors.
• Prepare regular financial reports for the donors, management accounts and other financial reports to inform decision making by NUWODU management.
• Support the preparation of programme/projects work plans, budgets and budgets revision as required by the various donors and the organization.
• Build capacity of NUWODU BOD, programme staff, membership, and those in accounts department in financial management through policies and practices.

Undertake the following management responsibilities

• Participate in organizational planning meetings including setting of activity and financial targets.
• Participate in the development and or review of policies and organizational structure as and when appropriate.
• Advise the Executive Secretary on all financial administrative and human resource matters.
• Participate in fund raising initiatives.
• Support fundraising activities including support proposal writing and preparation of projects budgets as required by the Executive Secretary.

Planning, Monitoring, Evaluation and Reporting

• Plan and manage own workload in accordance with NUWODU policies and procedures.
• Monitor the implementation of planned activities regularly and act as appropriate.
• Design and take part in evaluation of NUWODU's interventions, the financial, administrative, and human resource aspects.
• Ensure that resources are properly deployed and utilized.

General Administration
• Carry out own administrative functions including filing and use of word-processing software for production of own correspondence and reports.
• Ensure that files and recording systems (both Manual and computerized) are accurate and kept up to date and that all contracts with external organizations are properly recorded as appropriate.
• Safety and Security: Work with the security firm and person in charge of security to ensure regular updates and training are provided to staff and overall preparedness for NUWODU.
• Travel and Transport Systems: Ensure proper utilization of vehicle fleet, fair allocation of transport and tracking of vehicle use in line the policy.
• Carry out any other organizational administration duties such as minute taking, and registration as may be required.

Others

• Cover for other programmes or Administration staff as necessary. Attend and participate in staff meetings and other working groups as required.
• Adhere to NUWODU's policies, procedures, and performance expectations in all functions of the post.
• Identify own leaming goals and with the Executive Secretary agree, implement, and monitor learning activities
• Learn new ways of working and adapt to different work environments.
• Represent NUWODU at other forums including donor meetings as required by the Executive Secretary

Qualifications

• The ideal candidate should preferably hold a bachelor's degree in accounting, Finance or Business Administration. Possession of a master's in business administration is an added advantage.
• Professional accounting qualification ACCA, CPA (U) or equivalent is desired.

Experience
• At least 10 years of relevant experience in Finance or Accounting at Supervisory or Management level.
• Have practical experience in QuickBooks accounting package.
• Previous supervisory experience in office administration.
• Familiarity with USAID, UN and EU regulations is essential.
• Experience with NGO is required.
• Demonstrated budgeting, budget monitoring and financial reporting skills.
• Demonstrated skills in proposal development.
