Job Brief:
We are seeking a meticulous Finished Product Dispatch Specialist to join our team, someone adept at handling the intricacies of stock management, overseeing storage conditions, and managing the dispatch process. This role demands a keen eye for detail, effective communication skills, and a dedication to upholding the highest standards of hygiene practices.

Responsibilities:
• Keep a detailed and up-to-date account of stock and inventory.
• Ensure proper arrangement and storage conditions for finished products received from production.
• Oversee the timely and accurate dispatch of finished products.
• Prepare necessary paperwork, including delivery notes and invoicing, to accompany dispatched products.
• Manage the goods return process efficiently.
• Complete technical documentation and other required communication for returned items.
• Execute post-delivery procedures, including reconciliation and documentation.
• Uphold and enforce good hygiene practices within the dispatch and storage areas.
• Ensure compliance with all relevant regulations and standards in the dispatch and storage of medical devices.
• Stay updated on changes in regulations related to inventory and dispatch processes in the medical device manufacturing industry.
• Collaborate with the quality assurance team to implement and maintain quality measures in the dispatch process.
• Implement and monitor temperature controls for storage conditions, especially critical for medical devices with specific temperature requirements.
• Take proactive measures to address any deviations from specified temperature ranges.
• Work closely with the production team to streamline the transition of products from manufacturing to dispatch.
• Communicate effectively with production to anticipate upcoming inventory needs and potential challenges.
• Develop and implement contingency plans for unexpected events that may impact the dispatch process, such as equipment failures or natural disasters.
• Train staff on emergency response procedures to minimize disruptions in dispatch operations.
• Utilize technology and software systems for efficient inventory management and dispatch tracking.
• Stay abreast of advancements in technology that could enhance the effectiveness of dispatch operations.
• Liaise with the customer service team to provide timely updates on dispatch schedules and any potential delays.
• Address customer queries and concerns related to dispatch and returns promptly and professionally.
• Identify opportunities for process improvement within the dispatch and inventory management workflow.
• Propose and implement enhancements to increase efficiency and reduce errors.
• Maintain an organized and easily accessible repository of all dispatch-related documentation.
• Ensure that documentation is readily available for audit purposes and regulatory inspections.

Education and Experience Required:
• A Bachelor’s Degree in Procurement, supply chain, logistics, an equivalent CIPS or any other related course.
• 4+ years’ experience in a similar or related role in the pharmaceutical industry
• warehousing experience will be an advantage.
• Must be computer literate (Email, Word, Excel).
• Must have good communication and people skills.
• Previous experience having worked within a receiving and or dispatch role within the food or related manufacturing or distribution markets is preferred.
