Role Description
Reporting to the Head of Program Implementation, the Grants Compliance and Reporting
Manager will be the focal point in liaising with the Implementation, Planning, Learning, and Evaluation (PEAL) and Knowledge Management teams to collect essential information and data analytics for donor reporting (restricted and unrestricted). The Manager will also ensure rigorous grant compliance and coordinate effectively on any requests for donor reporting and proposal development. The Grants Compliance and Reporting Manager is passionate about community development, data-informed impact reporting, and making technical program information meaningful narratives for various stakeholders.
This role requires coordination, initiative taking, independent problem solving, and attention to detail to review and organize ready-to-use data for external reporting and ensure grant compliance, particularly for restricted funding projects. Essential to the role is managing shifting priorities and collaborating with multiple stakeholders in varying time zones. This individual will play a pivotal role in coordinating with team members for data requests and translating for reporting with the ability to draft a narrative from the datasets. They will be required to carefully review reports to identify gaps and follow up for clarifications when needed.
Key Responsibilities
Coordination and Reporting
• Collaborate with the Program Implementation team across our operation districts to gather necessary insights and information for donor reports.
• Collaborate with data analysts to review, analyze, and interpret data, identify trends, patterns, and insights, and translate findings for reports, proposals, and presentations.
• Collaborate with relevant teams to ensure data integrity.
• Serve as the focal person for the Program and Partnerships team to source, summarize, and produce content and analysis for donor reports, proposals, and presentations.
• Draft donor reports and proposals in collaboration with the Partnership team in a timely manner. This will include building narratives for reports and proposals based on technical and quantitative information for various audiences.
• Coordinate with the various departments to respond promptly to any donor requests.
• Prepare regular and ad-hoc reports and updates for management and donors as required.
• Improve and implement best practices on reporting in a cross-departmental setting.
• Grant Compliance
• Participate in the project design process to be informed on donor commitments and reporting needs for new partnerships.
• Review project designs and budgets to ensure compliance to grant requirements and monitoring and evaluation (M&E) framework.
• Liaise with the finance department to monitor grant budgets and ensure expenses align with donor requirements.
• Carry out a periodic review of activities to ensure grant compliance, particularly for restricted grants.
• Escalate any challenges with implementation or reporting for restricted grants in a timely manner.
• Stay updated with donor regulations and policies, and ensure that the organization adheres to these guidelines.
Knowledge Mobilization
• Provide relevant data-driven insights to support strategic decision-making on implementation and design strategy for future funding opportunities.
• Institute systems for collating and organizing reporting data for grants
• Collaborate with cross-functional teams to ensure successful documentation of reporting-related processes
Other:
• Support and train staff in collecting and coordinating reporting information for donor reports and proposals.
• Build and supervise a team, as approved, to support the growing reporting needs of the organization. .
• Any other responsibilities as assigned
Required Skills and Expertise
• Bachelor’s degree in a relevant field (e.g., Social Work, Community Development, Economics, Statistics or any other relevant field)
• At least five years experience in a similar role and setting.
• Demonstrated experience in monitoring and evaluation, preferably in the context of development projects or non-profit organizations.
• Strong analytical skills and proficiency in data analysis and interpretation using software such as Microsoft Excel or other statistical tools.
• Past experience in collecting qualitative and quantitative data to produce technical and narrative reports.
• Familiarity with M&E methodologies, tools, and best practices.
• Excellent written and verbal communication skills in English and local languages to effectively present findings and recommendations with national and international teams.
• Ability to work independently and collaboratively in a team environment across multiple departments in various time zones.
• Previous experience in supervising program staff.
• Detail-oriented and well-organized to manage multiple tasks and deadlines effectively.
• Knowledge of donor reporting requirements and compliance standards.
