JOB DETAILS:
The Head of Facilities will primarily be involved in the management of all the AKES,U facilities which will include full responsibility for ensuring planned preventative maintenance of all facilities, all buildings are safe and performing adequately, the buildings are clean and proper protocols are being followed, the security of the building is adequate and is being monitored and all systems and staff are in place for all aspects of maintaining the facilities to a very high standard. The FM may also, when required, be involved in the client project management of new construction projects (pre-design planning, design, construction). The person shall perform the role of a Client and primary coordinator between AKES, and external consultants for all construction projects.

Key responsibilities:
Primary Responsibilities (facilities maintenance)
• Oversee the upkeep and maintenance of all facilities under AKES,U.
• Prepare annual, medium and long term facilities planning budget for upkeep and maintenance of the facilities and carry out the small repairs as needed
• Oversees all facets of the daily operations of the organizational units, ensuring compliance with the AKES,U and Government policies, and regulations.
• Develop or assists with the development and implementation of policies and procedures consistent with those of the organization to ensure efficient and safe operation of all the facilities.
• Oversees activities of contractors, vendor personnel, and suppliers; monitors contracts for compliance and controls costs; monitors general expenditures of facilities teams.
• Prepare and present operational reports on a timely basis for the review and guidance from AKES,U management
• Develops and maintains emergency/disaster preparedness and recovery plans.
• Oversee the security system in place
• Ensures proper care in the use and maintenance of equipment and supplies; promotes continuous improvement of workplace safety and environmental practices.
Secondary Responsibilities (Major and minor capital projects)
• Oversee the pre-construction stage of any capital project.
• Oversee the design stage of any capital project.
• Oversee the tendering stage of any capital project.
• Oversee the construction stage of any capital project.
• Coordinate the handover stage of any capital project.

General Responsibilities
• Perform the role of the primary coordinator between the facilities teams, school heads and the service providers.
• Provide leadership of all facilities teams.
• Prepare detailed facilities maintenance reports and progress reports for minor and major works.
• Identify key risks and corresponding mitigation measures in the management of all facilities and projects.
• Review, prepare and approve invoices from 3rd party service providers and certify for payment.
• Ensure all operational documentation is in place, proper storage and filing of all facilities and project documents to comply with Document Management System (DMS).
• Provide technical input in any 3rd party contract discussions.

• Strong domain knowledge of architecture design, engineering and project management within the construction industry; knowledge of building schools will be an added asset
• Knowledge of accounting practices
• Strong project planning skills.
• Knowledge of legal contracts to be prepared for consultants, contractors and other parties
• Proven ability in using designing and project management software,for example AutoCad/MS Project.
• Skill in liaising with government bodies for obtaining necessary sanctions.
• Effective problem solving skills
• Articulate, with strong written, presentation skills and a very sharp thinker with a strong strategy focus
• An entrepreneurial self-starter who is hands on & able to manage multiple projects at the same time
• Quick to adapt to change, innovative & tough minded.
• Ability to resolve conflicting situations
• Ability to anticipate problems and advise the management well in advance of decisions to be undertaken.

• Knowledge of mechanical systems, building materials, and emergency maintenance.
• Knowledge of emergency and disaster recovery planning.
• Ability to develop and maintain record keeping systems and procedures.
• Ability to supervise, train and mentor employees, to include organizing, prioritizing, and scheduling work assignments

Qualifications and Experience:
• Should posses a Bachelor of Science degrees in Engineering and a Postgraduate Diploma in Construction Project Management (Preferably from reputed college)
• A minimum of 7 years' relevant work experience.
• 7+ years’ experience of which 5 years and more should have managed a team and handled multiple projects
