JOB DETAILS:
The Human Resources & Administration Coordinator provides efficient and effective HR and Administration services including overseeing all HR functions; (Workforce Planning, Recruitment, Compensation, staff development, Performance Management & Exit Management). The incumbent will also manage and supervise general administration, stores, transport and security components of the organization. The position holder works on problems of diverse scope and exercises judgment within generally defined practices and policies to identify HR and administration related solutions.
Key Duties and Responsibilities:
• Human Resource Management….50%
• Actively participate in attracting, developing and retaining a skilled and strategy driven workforce including preparing and disseminating job adverts, applicants screening and conducting interviews for shortlisted candidates.
• Spear head the recruitment, contracting and negotiations with all consultants
• Facilitate orientation of new employees and ensure that the Amref rules/policies/procedures are well understood by all staff, providing guidance as necessary.
• Prepare the payroll and work with the Finance department to ensure staff salaries are paid in a timely and accurate manner while ensuring statutory deductions are filed timely.
• Ensure adherence to local labor laws and practices and support staff enrollment in local benefit plans as appropriate.
• Serve as primary point of contact for the staff medical, group life and group personal accident insurance
• Play an active role in creating a safe and healthy work environment for all staff working for Amref.
• Assist staff in understanding and completing the performance appraisal process in a timely manner.
• Ensure that all new staff have set objectives/work plans for the probation period.
• Remind supervisors of confirmation due dates and decisions to confirm or not are made in time.
• Advise management on local labor law related issues and changes thereof when necessary
• Facilitate the separation of employees due to resignation, termination and ensure that all the necessary exit documentation is completed.
• Manage the leave-tracking system for annual, sick or other leave as applicable.
• Stores Management-----15%
• Supervise and Oversee the removal and disposal of redundant stock in the stores areas in accordance with Amref disposal policy
• Coordinate closely with the stores officer on supply movement, and the development and improvement of stores policies and guidelines
• Supervise the management of stock of supplies; ensuring optimum stock/ supplies levels are maintained at all times to meet operational and service level needs
• Ensure accuracy in the stores records by reviewing quarterly stock acquisition reports and ensuring an accurate Asset register.
• General Administration----15%
• Oversee the maintenance of internal and external cleanliness standards of the office premises to ensure a good working environment as well as ensure basic office repairs are done in a timely manner
• Review all cost recoveries from office space, office supplies, as well as payments for office utility bills, ensuring service providers are paid in a timely manner
• Ensure contract documents with service providers for services such as hotels, office space are up to date and payments made accordingly in a timely manner. Transport & Security----20%
• Supervise the transport department; ensuring vehicles are well maintained and adequate vehicles and drivers to support project activities.
• Provide guidance to the transport and security officer on issues pertaining transportation and Security.
• Ensure contracts with service providers for insurance, vehicle maintenance, security are up to date, monitored and managed.
Qualifications, Skills and Experience:
• Bachelor’s degree in Human Resources Management, Business administration or any other relevant field.
• A Post Graduate Diploma in Human Resources Management is preferable.
• Minimum of 5 years of relevant work experience in an HR generalist role for a mid-sized organization preferably with an international organization.
• In depth knowledge of the Ugandan employment labor laws and practices.
• Excellent verbal and written communication skills.
• Excellent interpersonal and customer service skills.
• Excellent organizational skills and attention to detail.
• Working understanding of human resource principles, practices and procedures.
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function well in a high-paced and at times stressful environment.
• Proficient with Microsoft Office Suite or related software.
• Good computer skills particularly in use of Human Resources Information Systems, MS Word, Excel, PowerPoint
• Highly organized, attention to detail and ability to prioritize multiple responsibilities.
• Demonstrated coaching skills, with an ability to inspire, influence and motivate teams.
