About the role
Reporting to the Operations Manager, the Office Administrator will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks will include bookkeeping and mentoring office assistants. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of the Uganda’s offices and Sales and Service Centers and high satisfaction levels for all visitors who visit the company’s premises.
Responsibilities
• Coordinate office activities and operations to secure efficiency and compliance to company policies.
• Supervise administrative staff and schedule responsibilities to ensure high performance at all times.
• Manage agendas/travel arrangements/appointments etc. for the management as requested from time to time
• Ensure good customer experience by managing phone calls and correspondence (e-mail, letters, packages etc.) that come through to the Headquarters.
• Administer budgets by ensuring timely and on budget purchase of inventory, housekeeping items and kitchen stock
• Track stocks of supplies and place orders when necessary
• Submit timely reports and prepare presentations/proposals as assigned from time to time highlighting risks in the department
• Assist all visitors and colleagues as and when required
• Play an active role in organizing company events in collaboration with other participating departments
• Promote the brand by ensuring cleanliness and orderliness of the company’s premise at all times
Qualifications and Requirements
• Proven experience as an office administrator, office assistant or relevant role
• Outstanding communication and interpersonal abilities
• Excellent organizational and leadership skills
• At least 2 years’ experience in managing and coordinating teams.
• Familiarity with office management procedures and basic accounting principles
• Excellent knowledge of MS Office, G- Suite and office management software (ERP etc.)
• Qualifications in secretarial studies will be an advantage
• Diploma or degree in Business Administration or relevant field is preferred
