Pathfinder has received funding from the Government of the United Kingdom of Great Britain and Northern Ireland, through the Foreign, Commonwealth & Development Office, FCDO – Kampala, to implement the ‘Empowering Women for Better Reproductive Health Outcomes Programme’ (EMPOWER) from February 2025 to January 2030. EMPOWER will be implemented in 80 districts in Uganda, to strengthen public sector health systems capacity to deliver maternal health services, mentor health workers on family planning and maternal, child health, and generate demand, while tackling myths and misinformation about family planning, and harmful traditional practices and gender norms that deny women agency over their own bodies.
The interventions are aimed to contribute to a reduction in preventable deaths of mothers, babies, and children, and women and girls’ empowerment through choices about whether and when to have children.
Your Impact: As a Procurement Assistant, you will provide day-to-day support to the Procurement Unit to ensure timely, cost-effective, and compliant procurement of goods and services. Reporting to the Procurement Officer, the Procurement Assistant will ensure that all procurement activities align with Pathfinder’s internal policies. The position will support activities like vendor engagement, procurement documentation, tracking deliveries, and coordinating internal teams for smooth project implementation.
Key Responsibilities:
Procurement Planning and Process Implementation:
- Implement procurement processes in accordance with Pathfinder’s procurement policies and donor requirements
- Support procurement planning and maintain an up-to-date procurement tracker.
- Conduct product and price analysis to determine best value for money.
- Draft Purchase Orders (POs) and ensure timely review and approval by budget holders.
- Compile complete procurement files and submit them for finance processing and payment.
- Track procurement requests and vendor deliveries to ensure timely receipt of goods and services
Vendor Management:
- Maintain an updated vendor list and conduct regular market surveys to ensure competitive pricing.
- Conduct vendor eligibility screening.
- Collect quotations and participate in procurement committee meetings for vendor selection.
- Liaise with the finance team on payment status and resolve any delays or issues
Supply Chain coordination:
- Working closely with the Supply Chain Advisor, and Regional Coordinator, coordinate district and health facilities to ensure close monitoring, reporting and replenishment of the whole range of supplies as well as redistribution for non-interrupted service delivery.
Logistics and Event Support:
- Organize logistics for program meetings and events, ensuring quality and cost-effectiveness
Documentation and Reporting:
- Maintain a well-organized filing system (both physical and electronic) for all procurement documentation to ensure audit readiness.
- Prepare procurement reports as required, including donor-specific or category-based reports.
Compliance and Ethical Conduct:
- Comply with Pathfinder policies, including child protection, fraud prevention, code of conduct, and safety standards
What You Bring:
- Bachelor’s degree in Procurement, Supply Chain Management, Logistics, Business Administration, Accounting, or a related field.
- At least 3 years of experience in procurement and logistics, preferably with an international NGO.
- Prior experience with FCDO-funded projects is strongly preferred.
- Level 1 certification in a procurement-related professional qualification (e.g., CIPS, CILT) is an added advantage.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong communication, organizational, and analytical skills.
- High attention to detail and commitment to transparency and accountability.
- Ability to manage multiple tasks and deadlines in a fast-paced environment
