Position advertised for: Procurement & Logistics Manager

Job Purpose/Summary:
The Procurement & Logistics Manager will be responsible and accountable for the delivery of all procurement and logistics related activities, taking lead in formulating and developing the relevant policies and procedures, import and export and related activities (custom, dearing agencies and trucks management), supply chain and disposal, purchasing, facilities, and fleet management. The job holder serves as the procurement and logistics specialist and shall be responsible for developing and standardizing operations processes and systems in accordance with the operational needs of the factory as well as management guidance and directives.

Key Job Responsibilities for the Position
• Effectively devising procedures to maintain high standards of materials handling.
• Monitor receipt of goods, documentation, storage & deliveries at the warehouse, tracking as well as distributing materials.
• Coordinate to acquire new service providers such as dearing agents for purposes of ensuring smooth and timely dearing of shipments as well as imports to minimize the cost and delays while maintaining high quality service,
• Coordination with customs department, relevant government authorities, departments & ministries for applying and obtaining of the import permits.
• Preparation and submission of procurement plan to Management by end of the every running semester, Coordination with different service providers such as the transport agents, Fork Lift providers and Cargo Surveyors for ensuring seamless movement of the shipments.
• Coordinating the management and distribution of both imports & exports goods/materials with zero margins of error, take charge of the procurement of any spares and items as per instructions and requisitions from departmental managers in respect of the budgets.
• Liaison with the insurance agencies on issues of damages and arising daims.
• Supervise the processing of invoices / GRNS/Request for payments accordingly.
• Close monitoring and supervision of spare parts stock report to keep track of expenditures.
• Preparing of daily, weekly and monthly reports for fuel usage with reconciliation and payment of the fuel bills, managing the procurement of essential production materials such as cartons boxes, gas and heavy furnace oil. Preparation of all tender documents.
• Checking and comparing of the quotations submitted by suppliers as well as the different markets prices for items.
• Managing, coordinating and evaluation of all the Procurement and Logistics team and carrying out any other tasks and responsibilities as assigned by the General Manager from time to time.

Qualifications, Abilities, Skills & Experience:
The desired Candidate for the Position should possess the Qualities as outlined;
• Should have proven strong negotiation abilities, efficient organization & coordination.
• Must possess proven ability to work under enormous pressure.
• Ability to communicate effectively both verbally and written with fluency in English.
• Flexibility to adapt to sudden changes in operational needs and requirements.
• Demonstration of a very high ability to work effectively with a team.
• Ability to prepare accurate reports, compile data and develop new work methods/procedure from time to time in accordance with relevant standards.
• Proficiency in computer skills such as MS Excel & Spreadsheets, MS Access, Microsoft word, and MS Power point presentation.
• To hold a valid driving permit is an advantage

Education and Formal Training:
• The ideal candidate should possess a Bachelor Degree in Procurement & Logistics Management, Bachelor of Business Administration or its Equivalent.

Experience:

• Possession of at least proven five (5) years' professional working experience in Procurement & Logistics related field in a fast paced environment.
• Prior working experience in the manufacturing sector shall be an added advantage.
