JOB DETAILS:
Job Summary:
The Procurement Officer plays a vital role in the organization's procurement process by sourcing, purchasing, and managing the acquisition of goods and services required for the smooth operation of the company. This role involves collaborating with various departments, suppliers, and stakeholders to ensure that the organization's procurement needs are met efficiently and cost-effectively. The Procurement Officer will report to the Supply Chain Manager

Responsibilities:
1. Sourcing and Supplier Management:
• Identify potential suppliers and conduct market research to evaluate their products, pricing, and capabilities.
• Develop and maintain a strong supplier base, nurturing relationships to ensure timely deliveries and favourable terms.
• Negotiate terms, prices, and agreements with suppliers to achieve the best possible value while maintaining quality standards.
2. Procurement Process:
• Collaborate with internal stakeholders to define procurement requirements and specifications.
• Source and review supplier proforma invoices for accuracy and completeness against purchase requisitions.
• Prepare and process purchase orders, ensuring accuracy in quantities, specifications, and delivery dates.
3. Cost Management:
• Monitor and control procurement costs by identifying cost-saving opportunities and optimizing sourcing strategies.
• Analyse pricing trends, market conditions, and supply chain dynamics to make informed decisions.
• Negotiate for better prices with suppliers
• Negotiate for better payment terms with suppliers.
4. Contract Management:
• Prepare, review, and manage procurement contracts, ensuring legal and regulatory compliance.
• Collaborate with legal and compliance teams to mitigate potential risks and ensure contract integrity.
5. Supplier Performance:
• Track supplier performance metrics, including delivery times, quality of goods, and responsiveness.
• Address any supplier-related issues promptly, working toward resolution and continuous improvement.
6. Documentation and Reporting:
• Maintain accurate and up-to-date procurement records, including purchase orders, contracts, and supplier information.
• Generate regular reports on procurement activities, cost savings, and supplier performance for review.
7. Compliance and Ethics:
• Ensure procurement processes adhere to company policies, industry regulations, and ethical standards.
• Promote fair and ethical practices in supplier relationships and procurement activities.
8. Continuous Improvement:
• Identify opportunities for process improvements within the procurement function.
• Stay updated on industry trends and best practices to enhance procurement strategies.

Qualifications:
• Bachelor’s Degree or above in procurement, supply chain or related field with minimum 2 years work experience in Medical devices, pharmaceutical or food/beverage manufacturing facility.
• CIPS is a plus
• Experience with SAP is a plus.
• Proven experience as a Procurement Officer or in a similar procurement role.
• Strong negotiation skills and the ability to build and maintain supplier relationships.
• Proficiency in procurement software and tools, as well as MS Office applications.
• Excellent communication and interpersonal skills.
• Analytical mind set with the ability to interpret data and trends.
• Knowledge of procurement regulations, contract management, and supply chain practices.
