Job Description – Project Coordinator in Charge of Partnerships & Safeguarding
Responsible to: Project Manager
Partnerships to Manage:
Higher Educational Institution Reps
Private Partners and Vendors (e.g., PSFU, FUE, UMA, Diwala, Yunikee)
Public Partners (e.g., OPM, MoES, UCC, NCHE, DIT, NITA).
Purpose of the Job (Main objectives of the Position)
• Develop and manage project partnerships successfully to achieve project goals and objectives.
• Suggest, establish, and maintain communication structures / flows and plan for communication between Project Management Office / Staff and Partners.
• Suggest and assist with creating communication networks between partners which facilitate project implementation and learning.
• Monitor progress of each partner and partnership and report same regularly to the Project Manager.
• Based on the monitoring, suggest extra studies / meetings / seminars that can address shortcomings and establish best practice and share same with partners.
• To monitor partners compliance with project / MCF policies and guidelines.
• Promote the project in the best possible manner.
• Play a lead role in strategic direction on Safeguarding for the project and participants.
• Ensure that safeguarding records are kept securely according to the organizations safeguarding policies and procedures
• Ensure three broad responsibilities of safeguarding at CSTS, being referral, training and awareness are upheld

• Develop and manage project partnerships successfully to achieve project goals and objectives by ensuring all partners:
• Prepared the Stakeholder Register
• Develop Partnership agreement and MoU templates
• Ensure partners understand and sign required project management agreements / contracts.
• Are aware of and participate in partnership and project events.
• Share progress updates and report as agreed with the Project Mgt Office.
• Suggest, establish, and maintain communication structures / flows and plan for communication between Project Management Office / Staff and Partners.
• Work with the relevant Project team members to prepare the stakeholder engagement Plan
• Assist in defining - Partners communication structures and flows.
• Kept partners and relevant stakeholders informed of the project activities and results.
• Interacted with relevant stakeholders to establish and maintain strong linkages (e.g., through meetings and functions).
• As requested by Project Manager, consulted Government institutions on policy matters and related issues.
• Suggest and assist with creating communication networks between partners which facilitate project implementation and support and learning.
• Identified common interests among partners: Areas of work, strengths, weaknesses, needs.
• Connected partners where there is a need and nurtured the connections.
• Monitor progress of each partner and partnership and report same regularly to the Project Manager.
• Visit partners regularly to create a good working relationship.
• Established and maintained a high-level system which reports on partners progress in relation to targets.
• Prepared consolidated reports as required.
• Visited underperforming partners to identify reasons for delays and discuss mitigation activities.
• Participated in partners internal e.g., board meetings as requested to provide guidance.
• Provided leadership, mentoring, and coaching of partners.
• Based on the monitoring, suggest extra studies / meetings / seminars that can address shortcomings and establish best practice and share same with partners.
• Reviewed all progress / partner reports and prepared consolidated reports as required.
• Ensured lessons learnt are translated into efficiency and effectiveness enhancing changes in policies, procedures, processes, and implementation.
• Suggested extra studies / meetings / seminars that can address shortcomings and establish best practice
• Ensured lessons learnt are shared with relevant partners and staff.
• To monitor partners compliance with project / MCF policies and guidelines
• During visits, probed partners compliance with project / MCF polices and guidelines e.g., youth, gender, PWDs.

• Assisted all project staff in planning important public events, as required.
• Participated in key public events which can promote the activities of the project.
• As requested, reviewed outputs of other staff targeted to external recipients.
• Appeared in public in a professional manner. Always well dressed and spoken at public events and in the office.
• Perform any other relevant duties that may be assigned by the Project Manager.
• Arrange partner workshops and events and schedule meetings with partners for the Project Manager.
• Additional duties assigned by the Project Manager completed timely.
• Strategic direction on Safeguarding for the project and participants.
• Make sure that CSTS, EIs all other Stakeholders adhere to the safeguarding policies
• Raising awareness of safeguarding procedures and protocols at CSTS
• Ensure safeguarding policies and information is available and reviewed annually, with relevant updates being duly implemented.
• Provide operational support and knowledge materials on inclusion and safeguarding for the Initiative.
• Make connections with the Safeguarding agencies and notify staff of training opportunities and new policies
Referrals on safeguarding
• Breaches in safeguarding policies or issues of maltreatment should be identified and be subsequently reported.
• Thoroughly understand the assessment process for providing early help and intervention
• When needed, act as a source of support and expertise. Mediate, lead and educate on safeguarding matters. Aid referral decision-making process by liaising with relevant agencies.
Trainings on safeguarding
• Give appropriate and regular training to all staff members, so that they can successfully keep to safeguarding policies.
• Ensure all staff and colleagues have access to and knowledge of safeguarding procedures.
• Keep accurate records or cases, referrals, issues and concerns.

Personal Profile
Qualifications:
• Master or equivalent in social science, management international development, or another relevant field.
• A degree in social science, management international development, Law will be an added advantage.
• Certified Project management professional
• Certificate in partnership management (high desirable)
• Relevant safeguarding trainings and certificates
Skills:
• Should have strong organizational and planning skills.
• Very good and efficient communicator.
• Should have strong leadership, communication, interpersonal, motivational, and analytical skills.
• Should have good public relations experience and negotiation skills.
• Self-motivated, positive attitude and a willingness to learn.
• Should have technical capacity to identify institutional, and technical bottlenecks and propose solutions.
• Able and willing to travel frequently to project partners institutions.
• Strong English language skills. Ability to speak / write at least one local language an added advantage.
• Counselling skills
Experience:
• 4 years of experience with educational institutions.
• 5 years of experience with partners management
• Substantial Africa exposure.
• 3 years experience with safeguarding
• Proven skills in planning and budgeting and management of financial resources.

Level of Education: Bachelor Degree
