DEPARTMENT: Managing Director’s Office
PURPOSE STATEMENT
To review and verify that all external and internal documentation and communication are proof-read and structured to the best quality standards and structure for publication/ dissemination both internally in line with The Organisation’ editorial/ publication standards.

RESPONSIBILITIES
Setup of documentation and reporting quality assurance mechanisms
KRA 1: Develop mechanisms, policies and procedures for documentation and publication of material produced by The Organisation
• Research and document best practice editorial and publication standards for the various documents that The Organisation produces
• Develop, in liaison with Destiny staff, The Organisation’ service publication guidelines (ensuring compliance with legal, financial or contractual expectations)
• Develop report writing and document templates for each business process report that is used in delivering customer services by The Organisation’ staff
• Incorporate reporting and publishing functions in staff performance goals
Reviewing documents and reports for quality
KRA 2: Continuously review all documents and reports for compliance with reporting and editorial standards set
• Schedule periodic document quality reviews for the various The Organisation’ reports, proposals and other documents
• Report all documenting flaws to management to ensure immediate action.
• Review all proposals going out to clients and proposals from Business development for compliance with reporting and documentation standards.
• Review consultants outputs / documents and reports for clients to ensure documentation and reporting standards compliance, recommend to the Managing Director for sign-off and delivery to clients
• Carry out periodic appraisals for staff / consultants and highlight best-quality documentation and reporting staff for recognition by management
• Provide copyediting and development editing skills throughout the documenting or report-writing and printing process
Capacity Building in documentation and report-writing
KRA 3: Supervise and guide consultants and other staff in improving the quality of their documentation and reports
• Train assigned staff in quality proposal writing
• Train consultants/ staff in quality report writing
• Induct new staff on The Organisation’ documentation and report writing standards
Continuous quality improvement
KRA 4: Appraise customers’ requirements and conduct research on contemporary documentation and reporting of The Organisation’ work
• Develop report and document quality feedback mechanisms both internally and externally and apprise management of areas that need improvement
• Act as a catalyst for change and improvement in the standards of documentation and report writing
• Identify documentation and report writing gaps, propose improvement mechanisms and follow up with management for implementation
• Facilitate the identification of proactive solutions to report-writing and documentation problems by collecting, analyzing and sharing service quality performance data
• Develop periodic quality improvement reports and submit to management
Reporting and feedback
KRA 5: Develop periodic reporting and documentation quality reports and account for work done in the proof-reading/editorial function
• Document and report on all proof-reading and editorial work carried out in the MD’s office
• Prepare and submit monthly performance reports to the Managing Director


Education and Aptitude:
• Bachelor’s Degree in Law, Journalism, Mass Communication or relevant field

Job related experience, knowledge and skills:
• 3 years’ practical experience in documentation, reporting and publication in the service industry
• Experience writing technical proposals and consulting reports
• Experience of working in multi-cultural environment
• Experience carrying out quality reviews and developing service quality standards
• Knowledge and understanding of best practice reporting standards for different kinds of services
• Very versatile with the use of computers for word processing, spreadsheets, desktop publishing, web content management and internet communication technologies
