JOB OVERVIEW:
Reporting to the Shop Operations Lead, the Retail Administrative Assistant will provide administrative support to the Sales & Marketing Team, including drafting work schedules for the Retail team, tracking and managing leases, and operating licenses for shops, and ensuring compliance with Retail operations SOPs.
KEY DUTIES:
• Review and follow up on daily sales information from all the Yalelo Shops/Outlets to ensure consistent submission to Data Analytics.
• Coordinating with the retail team for monthly expense claims, processing them timely, and supporting the retail shops with any reimbursements related to the same.
• Assists the shop team with keeping up with communications regarding specific internal customer requests, deliveries, returns, etc.
• Draft monthly roasters for shops and guide shops on drafting and uploading them into Resto.
• Keep track of leave days, overtime, and casual payment sheets for shop teams and ensure that the forms are approved and submitted to HR.
• Assets movement tracking, ensuring a record of all assets in the shops and their movement, maintenance, and replacements.
• Consistently update & report on Shop consumables usage, allocation, and forecast, timely requisitioning for shop consumables ensuring all purchases are within budget, and share any other information and issues from shops to the respective departments for support.
• Monthly tracking of regional shop rental and lease agreements, utilities, and other regulatory payments and ensuring they are paid on time and within budget.
• Handles all rent submissions, shop operating licenses/permits, and lease information monthly updates on SharePoint.
• Analyses the impact of marketing promotions on volumes in various shops and keeps track of ongoing promotions in various shops.
• Following up on customer feedback in shops and ensuring consistent updates to the customer service team on the same.
• Adheres to set Standard Operating Procedures to achieve high levels of coordination and professionalism cross-functionally.
• Handles all other administrative duties to support the Sales & Marketing team.
REQUIRED TECHNICAL SKILLS, TRAINING & EXPERIENCE
1. Bachelor’s degree in business administration, Marketing, or related field
2. Experience in sales administration preferably in the FMCG industry.
3. At least 2 years of working experience, preferably in a fast-paced sales environment.
4. MS Excel experience and excellent understanding.
5. Excellent organizational skills and ability to work in a fast-paced environment.
6. Ability to prioritize and manage multiple tasks simultaneously.
7. Excellent communication and writing skills.
8. Ability to meet strict deadlines and to work independently or as a team member.
9. Meticulous attention to detail and accuracy
10. Strong knowledge of sales performance metrics and KPIs
