Job Overview
Reporting to the Distribution Manager, the Warehouse Team Lead is responsible for the daily stock management—maintaining stock, both physically and in the system, coordinating the transfer of sales orders into dispatch orders, and system stock movement & reconciliations.
Specific Duties
• Ensure system health in terms of stock management i.e., ensure stock is correctly weighted and reordered, ensure that it is correctly uploaded in the system and ensure NO stock moves physically without the corresponding system movement. All this in a timely manner.
• Conduct daily alignment meetings with Fleet, and Dispatch representatives to maintain a cohesive and collaborative working relationship and achieve efficiency in the completion of all dispatch orders.
• Coordinate with other departments; Processing, Finance, and Commercial, to adapt or adjust to changes in a timely and efficient manner. (e.g., a sudden change in shared sales order should consequently result in a change in resources required for dispatch)
• Investigate with transparency, errors in stock management such as mixed SKUs, errors in weight, labeling, ice, and fish stock with all relevant stakeholders to resolve issues and discrepancies quickly.
• Propose appropriate policies, procedures, controls/checks for smooth Supply Chain Management.
• Maintain high levels of customer service support by identifying and implementing process improvement opportunities and acknowledging and resolving customer complaints.
• Monitor KPIs and dashboards to provide comprehensive portfolio reports, analytics, and visibility around SOP accuracy, and customer service KPIs for impacts to SOP. These should include but not be limited to dispatch efficiencies and stock management and control.
• Drive and lead root cause analysis processes and ensure action plans are in place to drive forecast improvement.
• Deliver a program of change to ensure a robust planning, forecasting, and scheduling system, that maximizes efficiency and eliminates waste.
• Develop and maintain a Goods Received Note (GRN) or Delivery Note to track stock movements at the point of sale and ensure accountability.
• Generate reports on the dispatch performance versus plan as well as associated metrics on a weekly and monthly basis along with identifying gaps between the required and actual dispatch quantity quantities & SKUs indicating steps in mitigating the gaps.
• Guarantee both internal and external customer satisfaction as per Yalelo Customer standards.
• Conduct performance reviews for staff to monitor KPIs yet remain candid and supportive in all aspects of performance improvement, growth potential identification, and upholding healthy working relationships.
• Perform any other duties assigned by the Line Manager.
Education, Qualifications & Experience
1. Bachelor’s Degree in Procurement and Supply Chain Management, Procurement and Logistics Management, or any related course.
2. At least 3 years of working experience in supply chain in a busy environment.
3. Working knowledge of modern cold chain supply, tools, techniques, practices, and IT systems.
4. Computer skills; proven proficiency in MS Excel, Word, and MS PowerPoint, experience of ERP systems.
5. Experience in FMCG operations is an added advantage.
6. Competencies in data entry, analysis, and management.
7. Assertive, proactive, candid, good problem-solving skills, a quick learner, ability to work under pressure, and a proven team player.
8. Credibility and flexibility to deal with people at all levels.
9. Highly analytical, with the ability to make accurate mathematical computations.
10. Excellent written and verbal communication skills.
11. Keen attention to detail and ability to effectively manage time.
12. Proven ability to direct and coordinate operations.
13. Strong organizational and time management skills
14. Ability to relocate.
15. Readiness to start immediately.
