JOB DETAILS:
Welcome Officer
Duty Station: Kampala
Reports to: Finance & Admin. Manager
Duration: 1 year, renewable

Purpose
The Welcome Officer ensures that Welcome activities are organized smoothly, including coordination of pick-up/drop-off of ICRC staff and guests, travel
• Ensures proper communication between the field and Kampala
• Interacts o share information on local context dynamic, protection issues and secunity.
• Creates and maintains network with relevant stakeholders (local organisations movement partners, refugee camp management, civil authorities in the area of responsibility to ensure that ICRC is up to date on context dynamics, protection issues and security in Yumbe area of responsponsibility Main Responsibilities
Travel, accommodation and immigration arrangements (50%)
• Coordinates with the relevant departments on arrangement of airport pick-ups and drops for staff and guests.
• Organizes, facilitates and ensures appropriate accommodation (hotel, apartment, house etc) for staff and guests. Conducts regular random checks to make sure that accommodation is safe and suitable to live in: contacts the appropriate department(s) in case of problems.
• Organizes Welcome packs, business cards,
• briefing programmes and tours of the delegation for new arrivals Organizes staff travel by the most cost-effective means (makes flight reservations, purchases tickets and confirms flights for professional and private travels)
• Organizes communication flow with other
• ICRC sub-delegations, delegations and/or headquarters regarding staff travel.
• Processes travel and immigration documents with relevant authorities for visas, work permits, travel insurance, health certificates, ID cards etc) and other administrative formalities for staff or visitors
• Arranges and organises school enrolment of mobile staffs children. Keeps all appropriate databases up to date on staff members, missions/other travel, document validity, residency, and any other relevant information.

• Negotiates best terms for service when in charge
