DRC Uganda is currently looking for a qualified and motivated individual to join our dynamic team as a Supply Chain Intern- Logistics.

The overall purpose of the role:

The Supply Chain Intern - Logistics role is accountable and responsible for supporting the post-order issuance processes at the regional office to ensure quality and timely deliveries while expediting the processing of invoices and vendor commitments to translate into the performance of projects as expected. The performance of tasks shall be in a manner that promotes value for money following DRC’s internal and donor procedures, as per the Operations Handbook and Quality Standards.                  

Your main duties and responsibilities will be:

Warehouse and invoice management

  • Conduct proper stock physical verification to ensure the quality and quantity of items ordered is received.
  • Timely communication of stocks delivered to program teams for timely dispatches and distribution.
  • Ensure sound access management of entries and exits in the warehouse space in the region.
  • Maintain updated stock records for all projects.
  • Conduct regular stock checks to ensure a timely escalation of any discrepancies.
  • Control inventory levels by conducting periodic counts and reconciling these with monthly reports.
  • Packaging and labelling dispatches correctly.
  • Ensuring accurate stock dispatch documentation.
  • Support with purchase requisitioning for departmental needs, e.g., consumables and fleet.
  • Compilation of supporting payment documentation for timely payment processing.
  • Purchase order follow-up and expeditions with suppliers to ensure a timely turnaround time.
  • Follow up on pending documentation to support payment processing, like invoices, Goods Received Notes, reports, and attendance lists, among others.

Archiving and reporting

  • Maintain a sound archiving system on the DRC SharePoint platform for all supply chain-related documentation for any reference purposes.
  • Prepare and submit weekly and monthly activity reports to the line manager.

Perform any other duties as may be assigned by the line manager from time to time.    

About you

To be successful in this role, we expect you to demonstrate understanding and working knowledge/experience of logistical principles, concepts & processes. Moreover, we also expect the following: 

Required

  • A bachelor’s degree in procurement and logistics management, supply chain management, or business administration with a major in procurement, logistics, or supply chain management.
  • Minimum of 1 year working experience in a busy INGO environment with some understanding of donor financial requirements, conditions, and government budgets and tax policies.
  • A team player with good interpersonal and communication skills.
  • Ability to work with minimal supervision.
  • Computer literacy is a MUST.
  • Experience working with Enterprise Resource Planning (ERP) systems will be an added advantage.
  • Cultural sensitivity and ability to work in a cross-cultural environment.
  • Full professional proficiency in English.
  • Excellent document management and archiving.
  • Dynamic and able to learn and adapt.
