JOB DETAILS:
Job Purpose
Handling the daily People Performance duties of the business and assisting the HR Business Partner with record maintenance, payroll processing, recruitment, and employee on-boarding and exit. Your duties will include updating HR documents and staff records, ensuring legal compliance, reviewing company policies, recording leaves, filing employment contracts, and creating statistical reports.

Duties And Responsibilities
• Organize, maintain and update internal databases with digital personnel records of relevant employee information.
• Prepare accurate monthly QSL-Head Office and in-house Group employees’ payroll in time.
• Generate and issue pay slips to staff as may be required.
• Track staff attendance and time management: clock-in and clock-out record, leaves and time-off.
• Coordinate the recruitment, selection and placement of Head Office Staff.
• Track employee contracts and process timely non/renewal.
• Take lead in the Automation of the HR function.
• Compile staff training needs and liaise with respective line managers for implementation.
• Administer performance management by assisting the HR Business Partner in issuing all staff with job descriptions and Key performance indicators for their roles.
• Coordinate quarterly employee performance appraisal exercise and submit a consolidated performance report.
• Review and update monthly HR metrics report on Share Point, in a timely manner.
• Track contracts and highlight those that are about to expire.
• Record grievances and facilitate closure: Recording, resolving and reporting.
• Assist with employee recognition and wellness initiatives and medical cover administration.
• Support recruitment, on-boarding and exit clearance process for all staff.
• Manage staff advances and bank loans.
• Provide guidance on employee behaviour, investigations and corrective actions.
• Take departmental meeting minute notes.
• Prepare correspondence, arrange meetings, processing confidential reports and documents.
• Handle all employee queries, written or verbal with the utmost confidentiality.
• Keep up to date on current issues and matters related to the HR department.
• Any other duties assigned from time to time.

Competences
Skills critical to the role:
• Excellent organizational skills
• Proficient knowledge of Microsoft Applications
• Hands on experience with Human Resources Management Systems (HRMS)
• Basic Knowledge of Ugandan labour laws
• Good people management skills
• Excellent oral and written communication skills
• Problem solving skills

Experience And Qualifications:
Mandatory requirements:
• A bachelor’s degree in Human Resource Management, Business Administration, or any related educational background.

Experience

• Minimum of 3 years of proven experience in carrying out human resources duties in a fast paced organization.
• Prior exposure to ERP and HRM digital platforms is an added advantage.
